Office Manager Position
POSITION SUMMARY:
The Business Manager is an administrator in support of the Pastor’s responsibilities to the parish and as such is a steward of the physical, financial and personnel resources of the parish. The role also serves as a liaison between the Pastor and Parishioners.
The Business Manager serves in a key parish management position along with the Pastor, Associates and Deacons ensuring the pastoral and administrative needs of the parish are sustained. Maintains a “people orientated” attitude and confidently in all areas of responsibilities.
WORKING ENVIRONMENT:
The position is generally in an office setting with business conducted on church grounds. The position requires some evening and weekend work.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
(other duties may be assigned)
Office Administration
· Managing day-to-day interactions with church staff, parishioner requests and questions, outside vendors and service providers
· Direct supervision of Administrative Assistant, Janitor, and Maintenance Technician.
· Weekly management of money counting processes and procedures to ensure contributions are handled and posted correctly
· Oversite of weekly bulletin content and mass announcements
· Preparation and follow through on general correspondence when necessary, including but not limited to donation letters, email communications, letters of acknowledgement, thank you letters
· Working with social service groups to facility services for the needy
· Completion and submission of special reporting to Diocese including but not limited to inventories, Catholic directory report and ParishSOFT reports
· Oversees implementation of computer programs/ changes and updates mandated by the Diocese
Financial Accounting
· Approval of staff timecards and payroll entries
· General Ledger accounting entries and balancing
· Serves as member of the Finance Council
· Prepares all monthly financials and reports to the Pastor and finance Council Fiscal year financial closeout and reporting to Diocese
· Prepares the annual budget with the Pastor and President of the Council for the new fiscal year
· Attend all bookkeeper/financial accounting meetings at Diocese
Special Events and Programs
· Oversite of monthly calendar for parish activities and events
· Oversee or assist with planning events and coordination of volunteers for special events and programs including but not limited to:
· Weekly Money Counters
· Good Samaritan food groups
· Saint Joseph Altar
· Parish sponsored events
· Wedding Anniversary Celebration
· Christmas Gift Giving for the needy
· Seder Meal
· Missionary visits
· Diocesan meetings held at the church
THIS POSITION SUPERVISES: Administrative Assistant, Janitor, Maintenance Technician
QUALIFICATIONS TO PERFORM THE JOB SUCCESSFULLY:
Education and/or Experience:
· High School Diploma or Equivalent required
· Higher education preferred
· Experience working in accounting/ finance/ bookkeeping specifically ParishSOFT and NetSuite is preferred.
Other Skills and Requirements:
· Must be able to successfully complete Safe Environment training.
· Must be able to communicate clearly to all by phone, verbally, and in written form.
· Extensive computer skills including, but not limited to, MS Office, Adobe, web-based applications, social media outlets.
· Must be able to sit at a desk and work on a computer with repetitive hand motions for prolonged periods of time.
· Must be able to work in an office environment with or without interruptions.
· The ability to travel in one’s own vehicle within or outside of the Diocese of Houma-Thibodaux required.
· Must have knowledge of the Roman Catholic Church and its teachings.
· Must be able to collaborate with a team or work with autonomy.
· Must be able to maintain confidentiality of sensitive situations and documents/ records.
*Breach of confidentiality is cause for immediate dismissal.
