Office Manager
Blessey Marine Services, Inc. owns and operates one of the youngest multi-faceted inland tank barge and vessel fleets in the United States.
We are in search of an Office Manager for our Liberty, Texas location.
JOB TITLE: Office Manager

SUMMARY DESCRIPTION:
Oversees warehouse inventory accuracy, work order tracking, and customer billing. Ensures timely audits, accurate job costing, and proactive management of accounts receivable.
SUPERVISION:
Reports to: General Manager
Supervises: Inventory Control Clerk
ESSENTIAL JOB FUNCTIONS:
- Conduct weekly inventory audits using SAP and barcode scanning system to verify stock accuracy.
- Supervise inventory processes, ensuring accurate tracking of parts and labor on all work orders.
- Review parts movement and work-in-process tracking for accuracy in SAP.
- Notify General Manager when inventory is low.
- Track and record labor hours associated with work orders in Excel and SAP.
- Generate and review billing for completed jobs through SAP; ensure invoices are sent promptly.
- Review accounts receivable aging reports weekly; initiate collection calls or emails as needed.
- Manage customer records related to tax exemption certificates, ensuring current documentation is on file.
- Generate profitability reports for completed jobs
- Communicate regularly with the Accounting Department located in Harahan, LA
- Train and support office assistant on inventory and work order processes.
QUALIFICATIONS
- Must be able to read, write and speak clearly in the English language.
- High School diploma or GED required with two years administrative experience.
- Proficiency in or knowledge of a variety of computer software applications, including but not limited to Excel and Microsoft Word software.
- High level of interpersonal skills to handle sensitive and confidential situations and documentation.
- Knowledge of office administration procedures.
- Ability to operate most standard office equipment.
- Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Proficient spelling, grammar and written communication skills.
- Excellent telephone and oral communication skills.
- Ability to maintain a high level of confidentiality.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

TRAVEL REQUIREMENTS
This position requires driving a vehicle as necessary for errands and business related meetings. Employee and/or applicant must successfully complete a Motor Vehicle History check and possess and maintain a current valid driver's license in their state of residence.
