AP / Office Administrator

Mississauga, ON Full-time $47000.00-$50000.00/year
Job Duties

  • Timecards Daily time entries for all hourly (~150) and temporary staff (~10-65/day) as well as adjustments
  • Investigate and resolve payroll issues with management at various operating locations
  • Create and/or run reports from payroll or time and attendance system.
  • Provide organized and efficient administrative support.
  • May be responsible for some accounting activities.
  • Collect, track, and analyze data information/data using Excel and other programs.
  • Maintain all monitoring and daily reporting with proper closing out procedures.
  • General office duties including purchase orders, mailing invoices, statements, filing and other duties as required.
  • Carried out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Answer and direct all incoming calls and emails in a polite and friendly manner.
  • Take and deliver messages and deliver/send messages on internal communication system.
  • Forward external inquiries to the appropriate department.
  • Welcome visitors in a warm and friendly manner, and answer any questions they may have; show them to their meeting contact; maintain visitors logs.
  • Order and maintain office supplies/toner/kitchen supplies
  • Maintain Petty Cash fund
  • Incoming/outgoing mail and courier
  • Incoming Calls
  • Timecards Daily time entries for all hourly (~150) and temporary staff (~10-65/day)
  • Update and track planned (vacation) and unplanned absences in PayWorks
  • Weekly reports to agencies
  • Biweekly reports to Payroll
  • Month End Reports to Internal Stakeholders
  • Payables PO’s in BC, Purchase Invoices and Credit Memos re Fleet Maintenance
  • PO’s in BC, Purchase Invoices and Credit Memos re Operations and Administration
  • Weekly batches to Head Office for posting
  • Month End procedures including Accrual Listing for Site
  • Track Fuel usage per truck for all diesels (on-site fills only)
  • Maintain Cards for PetroCanada/Gain

Minimum Knowledge and Skills Required to Perform the Job:

  • Successful completion of Canadian Payroll Association certification preferred.
  • Minimum 2 years experience in a multi-location environment.
  • Experience with ADP and time and attendance systems is required.
  • Experience with hourly and salaried payroll.
  • Accounting knowledge sufficient to perform journal entries and payroll account reconciliations.
  • Ability to exercise tact and discretion in dealing with sensitive and confidential information.
  • Strong computer skills particularly in the use of MS Office.
  • Detail oriented and ability to work to tight timelines.
  • Excellent organizational skills and the ability to multi-task.
  • Strong communication and interpersonal skills and the ability to work well with employees at various levels of the organization.
