Membership Database Administrator

 

The American Association of University Professors is pleased to announce a Database Administrator position in the Department of Organizing to be filled as soon as possible. The new leadership of the AAUP is looking for an individual who will help transform the Association into an organized, fighting union. Our goal is to defend the higher ed sector against increasing attacks while leading a fight for fair wages, job security, academic freedom, an end to student debt, and expanded access to postsecondary education. The ideal candidate will be committed to providing database support to transform the AAUP into the fastest-growing union in higher education.

 

The Database Administrator will have primary responsibility in providing support to AAUP members, chapters and staff using a Salesforce CRM custom designed by Fonteva. The Database Administrator will help lead an AAUP project to expand members and chapters access to the database and improve AAUP’s ability to transfer data to chapters and affiliates. The ideal person for this job has an extensive membership database management background, ideally has Salesforce certification, has a clear understanding of the relationship between membership and finance, and familiarity with labor unions. This individual must also have the ability to work well with diverse individuals both inside and outside the AAUP. This is a critical time for the AAUP and the academic profession, and this position will have a significant role to play in advancing the Association’s mission. Location for this position in Washington, DC is strongly preferred.

 

Duties and Responsibilities

  • Primary responsibility for training and onboarding database users, including:
    • Providing database training to new AAUP staff members as part of the onboarding process.
    • Providing ongoing support for other staff members to use the database, including creating reports for AAUP staff and assisting with sophisticated data analysis.
    • Providing database training, guidance, and material to AAUP chapters and members.
  • Serve as point of contact for database updates and chapter support, including:
    • Reconciling membership rosters; and making the appropriate updates in the database.
    • Review/verify chapter field staff/leaders input and roster uploads.
    • Creating chapter records for newly chartered AAUP chapters and updating defunct chapter records.
    • Identify and assist as needed with installation of Salesforce Apps as requested by AAUP staff.

  • Work closely with other department managers and AAUP leaders as well as affiliates and AAUP chapters to expand members and chapters access to the database and to improve AAUP’s ability to transfer data to chapters and affiliates, including developing new methods for uploading and transferring data and new guidance and training material for AAUP chapters and staff.

  • Lead the development and maintenance of AMS business rules and analysis of database reports.

  • Provide membership and chapter customer service, including:
    • Answering telephone inquiries from members and chapters and handling member and chapter requests.
    • Periodic phone calls to chapter leaders to verify billing, chapter officer contacts and address other concerns.
    • Monitor membership email reminders and associated business rules within AMS.
    • Creating new forms and maintaining updates as needed.
  • Serve as an integral part of the Organizing team, by maintaining membership database records, including:
  • Editing and updating membership records in the database including change of address, status, payment information, and other pertinent membership information.
  • Initiate refund processing as needed.
  • Coordinating with the Finance Department to follow up on failed credit card transactions and chargeback notices in a timely manner.
  • Working with AAUP chapters to keep member rosters current.
  • Testing and approving software upgrades in AAUP’s database.
  • Other duties as assigned.

 

Qualifications

  • Three years’ CRM experience required; five years' experience preferred.
  • AA degree required; Bachelor’s degree preferred.
  • Demonstrable proficiency in Microsoft Office, particularly in Microsoft Excel, with experience utilizing functions and formulas to clean and process data.
  • Demonstrable experience using membership database /AMS software, Salesforce based application; Fonteva preferred.
  • The ability to effectively communicate with both technical and non-technical individuals including external customers and vendors is required.
  • Salesforce certification required.
  • Demonstrable experience with process documentation required.
  • Demonstrable experience working with interactive screen share tools like Zoom, Go-to-Meeting.
  • Strong attention to detail and accuracy are essential.
  • Strong analytical skills.
  • Strong written and oral communication skills required.
  • Excellent time-management skills, including the ability to simultaneously manage multiple projects, prioritize tasks, and meet departmental benchmarks and deadlines required.
  • Experience working with individuals from diverse backgrounds and perspectives is required.

 

Compensation

Salary range: $75,000 for minimum qualifications and up to $95,000 for preferred qualifications and experience. Generous benefits package.

 

Position Classification

This position is categorized as a probationary senior program officer in the Department of Organizing and is part of the staff union bargaining unit. This is an exempt position and not eligible for overtime pay.

 

Work Location

The preferred location for this position is in the DC office with an option for part-time telework. We will also consider remote work, with occasional travel, for applicants who are located outside the DC metro area.
