Job Title: Membership Coordinator Schedule: 28-30 hrs weekly
Job Type: Part-time position Pay Range: $14.00 - $20.00/hour
Reports to: Executive Branch Director Revision date: October 2025
POSITION SUMMARY:
Under the direction of the Executive Branch Director, and consistent with the mission of the YMCA, the Membership Coordinator is responsible for all membership and membership personnel management.

GENERAL JOB FUNCTIONS:
Be part of a team that implements membership sales training programs focused on core membership functions such as sign ups, updates, recruitment, recapture, retention, and program sales.
Ensure exceptional prospective and active member experience by establishing systems and monitoring adherence to membership policies, procedures, standards, and best practices.
Schedule, manage and provide training for new membership associates.
Process collections of all payments, refunds, and changes in a timely manner with the assistance of membership associates.
Serve as the primary branch resource for the member services desk and database (Reclique Core).
Monitor the processing of membership and program paperwork on the front line to ensure minimal mistakes, assisting with coaching and training team members as necessary.
Submit usage reports for insurance payers and track members’ status through the payer portals.
Communicate billing and attendance for Corporate Memberships monthly. Recruit new Corporate Partners.
Flexible to work irregular work hours as needed, including early mornings, evenings, and weekends.
Find coverage for dropped or open shifts or fill in as needed.
Participate in staff meetings, events, and assigned committees.
Plan, implement, and manage member engagement activities.
Other duties as assigned.
JOB QUALIFICATIONS:
Associate degree from 2-year college or technical school, or minimum two years related experience.
Flexible availability to work irregular work hours as needed, including early mornings, evenings and weekends as required.
Ability to exercise independent decision making, working under only general instructions to accomplish work assignments.
Interpersonal/relationship skills to build positive relationships with fellow staff and members.
Proven organizational skills with keen attention to detail.
Experience with a variety of computer technology, office machines and equipment.
Excellent typing and data entry skills requiring a high rate of accuracy.
Ability to prioritize appropriately in handling multiple functions.
Demonstrated ability to manage confidential Information and to work with a diverse population of members, staff and volunteers utilizing a high degree of tact and diplomacy.
Previous Reclique Core database system experience preferred.
Previous YMCA experience preferred.
PHYSICAL REQUIREMENTS:
Ability to stand or sit while maintaining alertness for several hours at a time.
Ability to speak concisely and effectively communicate. Fluent in English, written and verbal communication. Ability to view/enter data for long periods of time.
Position may require bending, stooping, climbing, writing, kneeling, walking, pushing, and pulling.
