Veterans Engineering (VE) is seeking dedicated and detail-oriented Medical Support Assistants (MSAs) to join our team in supporting the Montana VA Health Care System (MTVAHCS). MSAs will provide critical administrative and scheduling support to Veterans, their families, and VA providers, ensuring seamless access to healthcare services.

This role is ideal for individuals with strong organizational skills, excellent communication abilities, and a commitment to serving our nation’s Veterans.

Responsibilities
  • Schedule, track, and manage Veteran appointments in compliance with VHA Directives 

  • Collaborate with the Lead Scheduler and scheduling/reception team to ensure timely and accurate patient communication

  • Process and coordinate community care consults via HealthShare Referral Manager (HSRM), Provider Profile Management System (PPMS), and other VA systems

  • Validate and update patient demographic information in CPRS and VistA systems

  • Screen and answer phone calls in a professional, courteous, and timely manner

  • Coordinate and authorize care with community providers when VA cannot meet timelines

  • Provide clear communication and guidance to Veterans and internal medical providers regarding care and referrals

  • Ensure records are properly processed and integrated into electronic health systems

  • Maintain confidentiality and compliance with all HIPAA and VA regulations

  • Deliver high-quality customer service to Veterans, families, staff, and healthcare partners

  • Perform additional duties as assigned

Qualifications
  • U.S. Citizen or permanent resident

  • High School Diploma or GED required

  • Strong oral and written English proficiency

  • Basic computer literacy, including Microsoft Office Suite (Word, Excel, Outlook, Teams)

  • Ability to type at least 50 WPM

  • Knowledge of basic medical terminology preferred

  • Strong interpersonal and communication skills

  • Must reside within 50 miles of the Montana VA Health Care System

  • Must be able to work on-site or remotely depending on VA requirements

  • No health or physical restrictions that interfere with assigned duties
