Position Summary

This position is responsible for overseeing day-to-day operations of the Hospital Services department region assigned to ensure goals/objectives are met. The Manager of Hospital Services is also responsible for managing performance of assigned direct reports and will assist the Director of Hospital Services/support staff with driving departmental initiatives and processes. The Manager of Hospital Services will assist staff with proactive rounding, early identification of donor potential, support family integration, support hospital based initiatives as well as clinical initiatives to optimize donation potential.  


Essential Functions

  • Works with HR and department Director in the recruitment, interviewing and selection of applicants for the department, including job description development and maintenance

  • Develops, revises and maintains of policies and procedures for Hospital Services department

  • Plans, designs and directs work assignments/schedules for assigned staff

  • Supports Director of Hospital Services/Senior Regional Director(s) with employee management and oversight with duties as assigned

    • Ensures employee compliance with all HR policies and procedures

    • Works with HR in the development, growth and performance management of assigned staff

    • Coaches/councils assigned employees as needed

    • Utilizes available data to assess employee performance

    • Establishes and communicates job responsibilities and performance expectations to assure mutual understanding of desired results

  • Assists in development and execution of LOPA's strategic plans, developing department goals and tactical plans to assist in meeting organizational objectives

  • Develops strategies and action plans to improve donation outcomes at our donor hospitals within assigned regions

  • Quickly and effectively communicates and troubleshoots through complaints and challenges within the assigned regions in collaboration with the Senior Regional Director/Director of Hospital Services

  • Collaborates with the education department to plan, coordinate, and direct training and staff development programs for the Hospital Services staff, as well orientation for new staff members

    • Design and implement structured orientation and training programs that include training materials 

    • Meet with orientees at 30, 60, 90, 180 days and as needed

    • Seeks out and acts as liaison for continuing education and certifications of staff

  • Ability to perform all essential duties of a Donation Services Coordinator III

  • Acts as an expert resource in all aspects of LOPA’s organ and tissue referral process, recovery process and procedures 

  • Collaborates with Community, Organ and Family Services to support initiatives in the region

  • Expert in improving physician, nurse relationships as well as all stakeholders


Job Role Expectations

  • Adheres to all current LOPA policies

  • Attends and participates in required departmental meetings/education

  • Maintains competency annually

  • Compliance with documentation of hospital interactions in LOPA’s electronic database as required

  • Compliance with deviation identification, follow-up and implementation of education and/or performance improvement plans, as required

  • May be responsible for onesite response to initial referrals/case support for assigned region(s) with chart evaluation to assist in determining medical suitability, supporting staff with family integration, referral and donation case follow-up

  • Supports multidisciplinary donation committees specifically designed to review donation outcomes, and determine educational and process improvement initiatives with the donor hospital 

  • Creates and fosters positive, professional relationships for enhanced collaboration with internal and external customers, partners and stakeholders

  • Maintains effective communication with essential departments within LOPA: Quality, HR, Education,Family Support, Organ, Finance, and Community/Marketing 

  • May serve as a preceptor/support for Donation Services Coordinator I, 2 and 3

  • Keeps Director of Hospital Services/Senior Regional Director updated on issues/challenges within department through reporting or monthly meetings

  • Participates in assigned leadership meetings/training

  • Assists direct supervisor in developing/maintaining annual department budget, as needed

  • Maintains and approves time cards of direct reports

  • Maintains schedule for assigned region(s) 

  • Reviews and completes all assigned tasks in Q-pulse and Traincaster by set deadlines

Supervisory/Advanced Responsibilities

  • Successfully completes LOPA’s Preceptor Program and participates in orientation of newly hired DSC staff as trained preceptor. 

  • Participates in at least on approved performance improvement project/initiative or strategic goal team workgroup per year 

  • Approach Support Call Rotation/Clinical Call as designated

Work Environment

  • Possible exposure to communicable diseases, hazardous materials, pharmacological agents with the likelihood of harm if established health precautions are followed.

  • Possible mental and visual fatigue associated with detailed work. 

  • Requires travel 

  • Possible exposure to Blood-borne Pathogens and TB. Employees may at times be in a hospital setting and may have exposure to packaged organs and tissues for transplant and/or research. 


Physical Demands

  • Remaining in a stationary position, often standing or sitting for prolonged periods.

  • Communicating with others verbally and electronically to exchange information. 

  • Considerable time spent walking. 

  • Repeating motions that may include the wrists, hands and/or fingers.

Work Hours

  • Full time, schedule may vary based on needs of the region

  • May include weekend coverage/call

  • Scheduling may vary based on staffing/regional needs


Education and Experience

  • Bachelor’s degree from four-year college or university

  • Minimum of one year supervisory experience preferred

  • 2-3 years related experience as a Donation Services Coordinator with Family Services or Clinical background or equivalent combination of education and experience


Knowledge, Skills & Abilities

  • Working knowledge of Microsoft office and Google applications 

  • Ability to function autonomously and prioritize daily work load, possesses strong time management skills 

  • Ability to effectively present information and engage small/large audiences 

  • Ability to effectively and professionally provide verbal and electronic communication 

  • Ability to problem-solve and resolve conflict

  • Working knowledge of medical terminology 

  • Comfortable in an acute care hospital/healthcare environment
