DOING RIGHT BY PEOPLE – IT’S WHAT WE DOReporting to the General Counsel & Privacy Officer, the Legal Administrative Assistant is responsible for assisting with contract administration; supporting legal, privacy, governance, and compliance documents and related correspondence; managing general intake of legal, privacy, and compliance matters; maintaining and organizing the file management system and database; and ensuring the efficient administration of the Legal & Privacy team office.

SUPPORT, ORGANIZE & DELIVER – IT’S WHAT YOU’LL DO
Deliver First-Rate Legal Administrative Support
Using your education and/or experience, you will provide day-to-day legal support to the Legal & Privacy team across a range of responsibilities, including:
+ Creating and/or maintaining Legal & Privacy team office procedures and routines.
+ Maintaining an efficient file management system and database.
+ Assisting with contract administration.
+ Preparing, formatting, reviewing, and/or editing various legal, privacy, governance, and compliance documents, memos, reports, presentations, and correspondence.
+ Managing general and time-sensitive Legal & Privacy inboxes.
+ Preparing and recording meeting agendas and minutes for department and stakeholder meetings.
+ Assisting with legal, privacy and compliance matters, as assigned.
+ Coordinating and scheduling meetings, arranging travel, and assisting with department expenses and budget management.
+ Liaising with internal clients on administrative issues.
+ Liaising with external counsel and third parties, as required.
+ Performing other administrative duties, as required.

WHAT YOU'LL NEED TO SUCCEED
+ Completion of a recognized legal assistant program or equivalent experience.
+ Minimum 2 years' experience as a legal assistant in a law firm or in-house legal department, or equivalent experience.
+ Ability to handle a high volume of work, manage multiple priorities, and maintain exceptional attention to detail in a fast- paced environment.
+ Strong organization, time management, and multitasking abilities.
+ Experience supporting multiple lawyers an/or leaders simultaneously.
+ Ability to work both independently and cooperatively in a team-oriented atmosphere, with a proactive mindset and a view to what's next.
+ Completion of a recognized legal assistant program or equivalent experience.
+ Strong written and oral communication skills, with the ability to build strong relationships and collaborate effectively with internal and external stakeholders.
+ High degree of professionalism, sound business judgement, ethics, integrity, and responsibility.
+ Ability to handle sensitive and confidential information with discretion.
+ Strong technical skills, with the ability to learn and adapt to new legal software, systems, and document management tools (experience with document management or case management software is an asset).
+ Excellent knowledge of MS Office Suite (Word, Outlook, Excel, PowerPoint).
+ Knowledge of privacy, confidentiality, and information security principles in a corporate setting.
+ Commitment to continuous learning and an enthusiastic desire to develop a broad legal skillset.
+ Written and oral fluency in both official languages (French/English) is an asset.
