Reports to: Department Director

Location: Hamilton, ON

Hours of Work: 35 hours per week

Start Date: June 17th, 2024

Contract End Date: August 9th, 2024

Supports the work of the I.T. department by providing administrative and technical support;

  • Demonstrates a high level of professionalism, confidentiality, composure and flexibility when faced with managing multiple conflicting priorities;
  • Helps maintain and update databases;
  • Performs secure wiping and decommissioning of old equipment;
  • Creates internal documentations and “How To” guides for staff;
  • Moves and sets up workstations, including supplying computer terminals, data connections and telephones;
  • Creates and updates content on organization's SharePoint sites and intranet;
  • Provide basic support and answers staff inquiries;
  • Provide direct administrative support in copying, filing, scanning, etc.;
  • Conducts research, data entry for automating records, monitors content for accuracy, produces documents (charts, presentations) for various audiences;
  • Compile, create, and modify statistical reports as assigned;
  • Maintains accurate files electronically and in hardcopy to ensure responsible administrative records and corporate memory;
  • Works in a manner that preserves confidentiality and minimizes risk;
  • Works safely and reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures;
  • Ensures compliance with policies and procedures;
  • Supports YWCA Hamilton’s mission, vision and values;
  • Perform other duties as required.

WORKING CONDITIONS:

  • Works 35 hours per week;
  • Ability to use frequent light to medium physical effort; lifting up to 22kg, bending and stooping;
  • Various shifts of days, afternoons (Monday to Friday).

Qualifications

  • Currently enrolled in or completion of 3 years College diploma in Computer Science or equivalent;
  • Understanding of networking and TCP/IP;
  • Experience creating and adding content to office 365 SharePoint sites;
  • Experience troubleshooting basic network, software and printing problems is an asset;
  • Experience using office 365 suite including MS SharePoint and Teams is an asset;
  • Exceptional organizational skills with ability to prioritize tasks, work under pressure, meet deadlines and quickly adapt to change;
  • Previous experience working in an Administrative Assistant role an asset;
  • Demonstrated understanding of administrative processes and procedures;

  • Ability to maintain composure when faced with managing multiple conflicting priorities for multiple stakeholders;
  • Excellent problem solving and analytical abilities; proactive in anticipating needs and potential problems;
  • Excellent verbal and written communication skills;
  • Proficiency with MS Office Applications including but not limited to Word, Excel and Outlook;
  • Ability to bring a feminist, anti-racist/anti-oppressive perspective to daily work;
  • Bilingual English/French or other languages an asset;
  • Provide a current Judicial Matters police check or willingness to obtain at own cost;

This is a temporary summer position which is funded by the Canada Summer Jobs Program. Eligible applications must meet the following criteria of the program to be considered:
