Job Summary 

Works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts.  

 

Job Responsibilities 

  • Provide complex office administration and support to the Program Director of IT and the CTO 

  • Develop, implement and administer departmental office systems and procedures 

  • Assist with interviewing process, scheduling applicants and verifying paperwork 

  • Review, assess, route, answer and monitor follow up action steps on correspondence 

  • Administer vendor relations for IT including processing of invoices and maintaining technical support renewals 

  • Order office equipment under the direction of Program Director of IT 

  • Support telephony system and maintain vendor relationships 

  • Manage inventory and licenses for software applications, i.e. Microsoft, Nuance, etc. 

  • Assist with confidential preparation and administration of annual reviews for IT department 

  • Proficient with multiple technical applications including the Microsoft Suite and windows platform. Experience with Atlassian application’s preferred but not required 

  • Answer and route phone calls, mail and e-mail messages and distribute information as needed 

  • Book and manage travel for IT Managers using Concur Travel and Expense 

Must possess the ability to juggle multiple tasks and meet deadlines. This role requires the successful candidate to be a team player, flexible with solid written and oral communication skills. 

 

 

Qualifications 

  • Five plus years related experience with proven office administration and customer service skills required. Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools. Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.  

 

Physical Requirements 

 

Requires sight and mobility to effectively operate various office machinery including but not limited to computers, telephone, copier, etc.  Must also be able to stand or sit for long periods throughout the day.  Computer/keyboard activity averages over 2/3 of time each daySight requirements include close (clear vision at 20 inches or less), distance (clear vision at 20 feet or more), and ability to adjust the eyes to bring an object into sharp focusThese requirements result from the demands of reading reports, information and working with computersTalking/hearing activity averages over 2.3 of time each day.
