JOB SUMMARY

The Human Resources Specialist is responsible for supporting the HR department and all employees generally by ensuring quality processing, filling in gaps, and tracking day-to-day functions overall to ensure that all inquiries and tasks are addressed in a timely and thoughtful manner. Serving as the front-line representative for the HR department, this person receives and filters internal and external inquiries and requests and manages all clerical tasks such as data capture and data integrity for the department. The HR Specialist reports to the HR Manager.

ESSENTIAL FUNCTIONS

  • Serves as the day-to-day employee interface to provide direct support to employees; answering FAQs, directing employees to the appropriate member of HR or the company for assistance.
  • Serves as the call center for HR to direct inquiries to the appropriate location or address inquiries directly as appropriate. 
  • Ensures employee questions are addressed in a timely and thoughtful manner; this includes tracking and following up on referrals/transfers to other team members or departments.
  • Maintains a log of questions, issues, and requests on a daily basis to provide as a report to the HR Manager; providing suggestions for improvements to employee education programs, response times, and other metrics as defined by the HR Manager.
  • Ensures employee data is collected and maintained in relevant systems to adhere to compliance requirements and support overall efficiency and effectiveness of the department (EE profiles, data points for reporting, folder structures and storage requirements)
  • Filing, scanning, faxing, emailing, and so forth—electronic and paper (in accordance with applicable regulations)
  • Process all incoming and outgoing correspondence for HR (mail, email, fax)
  • Supports the HR Manager with project development and tracking of project execution
  • Generates annual reports required by various agencies and for various filing requirements such as ACA, EEOC, DOLI, etc.
  • Executes clerical processes such as COBRA notices, FMLA notices, scanning, filing, etc. with direction from the HR Manager
  • Supports the HR Manager during open enrollment events and throughout the year for life events and other related processing; ensures that benefits are administered to employees and that employee enrollments are executed accurately in relevant provider systems and are coded correctly in payroll.
  • Supports the payroll processing by correcting and auditing for errors related to withholdings and other HR-driven transactions (benefits changes, enrollment issues, timecard issues, etc.); contacts managers and employees proactively to address blocking issues; assists managers with corrections and approvals as needed to ensure payroll deadlines are met.
  • Manages and tracks the company’s uniform and swag program
  • Organizes department meetings and schedules other meetings as requested
  • Oversees maintenance of FMCSA driver files
  • Tracks and pays invoices for Human Resources department spending, submitting paperwork and coding credit cards as applicable
  • Executes onboarding for new hires and related logistics associated with orientation
  • Maintains a system to track and execute communication and/or gifts in reference to employee milestones and recognition such as employment anniversaries, sympathy, relevant appreciation days, life events, and so on
  • Facilitates execution of company events such as luncheons, celebrations, team building activities, and so on with guidance from the HR Manager
  • Fosters a collaborative environment within the HR department and across departments
  • Maintains professional and technical knowledge by participating in activities such as: attending educational workshops, obtaining certification(s), participating in company organized events, reviewing professional publications, establishing networks, and participating in professional societies
  • Performing special projects as assigned by manager
  • Adhering to company policies and procedures

  • Familiarity with laws, regulations, and best practices applicable to employee data collection and storage
  • Proficient with or the ability to quickly learn HRIS and payroll system software
  • Proficient with Microsoft Office Suite and related software tools such as Adobe PDF
  • Uses logic and reasoning to identify strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
  • Problem analysis and resolution skills
  • Ability to maintain a high level of professionalism, confidentiality, and objectivity
  • Effective teamwork and interpersonal skills

TRAINING, EDUCATION, & EXPERIENCE

  • A Bachelor’s degree in Human Resources or related field, or equivalent work experience is required
  • Previous experience handling all phases of recruitment and hiring processes is required
  • Previous experience handling general HR duties is required
  • SHRM or HRCI certification is a plus
