Position Summary:

The Office Manager will oversee office management and facilities responsibilities for Nuclein’s office locations. This individual will work closely with the Administration, and Operations teams, and will provide administrative support to the Executive team as needed.

Responsibilities:

  • Manage office operations for Nuclein’s Cross Park and Center Ridge locations, including ordering and maintenance of office supply inventory, catered lunches, break room food and beverage stocking, and running errands
  • Maintain day-to-day operations of Nuclein’s facilities, such as delegating or completing maintenance orders
  • Provide administrative support to the Executive team
  • Welcome and coordinate arrival of visitors and candidates
  • Develop, implement, and carry out office administrative systems/procedures
  • Coordinate meetings, special gathering, and company events
  • Record and process invoices, receipts and payments
  • Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor spaces
  • Schedule routine inspections and emergency repairs with outside vendors as needed
  • Ensure proper safety and security measures for the workplace, including collaborating with security system vendors
  • Create reports on maintenance, repairs, safety and other occurrences as needed
  • Collaborate with key stakeholders on budgeting for facilities needs
  • Support onboarding efforts for new hires as needed
  • Support recruitment efforts for the Human Resources team as needed

 Qualifications:

  • Bachelor’s degree in a relevant field, or equivalent years of education and experience required
  • 5+ years of Office Management and/or applicable office services experience required
  • Ability to problem solve and implement solutions
  • Must be able to effectively communicate with all team members
  • Ability to work collaboratively, explain the ‘Why,’ and be able to influence others in a fast-paced environment
  • Ability to operate independently with moderate supervision
  • Possess a high level of attention to detail and organization
  • Ability to prioritize tasks and to delegate them when appropriate
  • Proficient with Microsoft Office Suite or related software to complete reports and logs
  • Must be able to traverse the facilities
