Summary of Duties:

Taking direction and guidance from the Manager of Housing and the Director of Infrastructure, the Housing Administrator is responsible for supporting tenants and homeowners in relation to the Housing Department’s services and programs, while maintaining relationships and working in the best interest of the community.

Key Deliverables and Expectations:

Coordinate tenant and homeowner relations, regarding any requests for housing, implementation, and enforcement of existing housing agreements, as well as maintenance and renovations of their assigned residential buildings.

Receive and review applications for housing assistance and rental housing, confirm eligibility, and execute lease agreements.

Educate and counsel homeowners and tenants on housing policies and programs and work with tenants to help them understand and carry out their housing responsibilities.

Provide support services to tenants and homeowners, establish a network of contacts to which tenants can be referred to, and assist in budgeting and home maintenance.

Share information on housing programs and services with community members.

Receive regular financial updates on rental payments received by the finance department and update individual tenant payment records and review accounts in arrears with the Manager of Housing.

Follow up with tenants, often in person, at their home or in the office, whose payment is in arrears; arrange for and follow up on arrears repayment agreements where required.

Assist with/carry out building condition assessments during tenancy, and complete reports (annual, move-in, move-out) for action by the Manager of Housing.

Liaise with outside agencies and contractors, vendors and/or delivery personnel, the public, membership, clients, and Lil’wat Nation staff.

Create and maintain effective administrative systems and procedures for the Housing Department.

Managing and responding to issues affecting the Housing Department.

Assist the Manager of Housing with filing, records management, information gathering, correspondence, communications, minute-taking, procurement, scheduling, reporting, etc. as directed.

Assist tenants and community members with the completion of documents pertaining to the department’s services and programs.

Follows key procedures to ensure a fair process for tenants and homeowners.   

Perform other related duties as requested.


Experience and Attributes: 

High School graduation required.

2-3 years of relevant work experience.

Minimum 1 year experience in First Nations band housing or a related field is preferred.

Outstanding written and verbal communication skills in the English language.

Ability to work independently and as an integral member of various teams.

Strong organizational skills, meticulous attention to detail and time management skills.

Ability to meet deadlines, manage multiple tasks simultaneously and maintain confidentiality.

Strong proficiency in Microsoft Word, Outlook and Excel.

Motivated self-starter and with strong interpersonal skills.

Proven ability to effectively communicate information to a variety of stakeholders including community members, internal departments, staff and leaders. 

Demonstrates confidentiality, diplomacy and fairness in decision making and ensures processes are followed carefully to avoid conflicts, perceived favoritism, and subjectivity. 

Understands the needs, concerns, and demands of a First Nations community.

Cleared Criminal Record Check.

Class 5 driver’s license, clear driver’s abstract and a reliable vehicle.
