Bloom Health Centers provides comprehensive mental health services including psychiatry, psychotherapy, Transcranial Magnetic Stimulation (TMS), Spravato treatment, and psychological testing. We are seeking a compassionate, organized, and driven professional to join our growing team in Charlottesville, Virginia.
This position combines front office responsibilities with clinical support for our TMS program. The ideal candidate is empathetic, detail-oriented, and comfortable interacting with patients while supporting both administrative and clinical workflows. Training and education related to TMS therapy will be provided; prior experience with TMS is a plus but not required.
ResponsibilitiesFront Office & Administrative Support

Answer incoming phone calls and emails in a professional and friendly manner

Schedule and manage patient appointments

Maintain and update patient charts using the electronic medical records system while ensuring confidentiality and HIPAA compliance

Provide accurate information and support to patients

Address patient concerns or grievances with empathy and professionalism

Communicate and collaborate with members of the patient’s care team as needed

Complete prior authorizations for prescriptions and refills as directed by providers

Create fee forms and payment plans for out-of-pocket patient costs

Participate in weekly meetings and support the continued growth of Bloom Health Centers
Mental Health Technician (TMS Services)
-
Set up and operate TMS equipment according to established treatment protocols
-
Administer TMS treatments as directed by clinical providers
-
Engage in supportive clinical conversations with patients during treatment sessions
-
Monitor patients during treatment and escalate urgent concerns such as suicidal ideation or adverse medical events when necessary

Complete clinical documentation including patient notes, PHQ-9 scores, billing codes, and REMS reporting
-
Participate in weekly patient rounds with the clinical team to review progress and care plans
-
Communicate with patients via phone or email regarding treatment information, appointment changes, and account updates

Support internal and external education and collaboration related to TMS services

Perform additional duties as assigned by a supervisor

Skills and Requirements-
High school diploma or GED required; Associate’s or Bachelor’s degree in psychology, healthcare administration, or a related field preferred

Minimum 1 year of customer service, call center, direct patient care, or clinical experience

Experience working with individuals experiencing depression or other mental health conditions preferred

Ability to type at least 35 words per minute

Strong organizational skills with the ability to maintain confidentiality

Excellent communication skills, including speaking, reading, and writing in English

Basic computer proficiency (Windows, Word, Excel, Outlook)

Reliable transportation and ability to adhere to assigned shift schedule

8-hour shifts scheduled between 7:30 AM – 6:30 PM

$22 – $24 per hour, depending on experience and qualifications
