Key Responsibilities
As a Front Desk Receptionist/Office Assistant, you’ll be responsible for:
  • Switchboard Management: Professionally answer, transfer calls, and take accurate messages.
  • Document Handling: Scan, organize, and securely manage records in a digital format.
  • Record Coordination: Maintain accurate records and prepare outgoing mail on schedule.
  • Financial Transactions: Process checks with precision and confidentiality.
  • Customer Service: Welcome visitors with warmth and professionalism, ensuring a friendly atmosphere.
  • Appointment Scheduling: Manage the office calendar and efficiently coordinate appointments.
  • Visitor Assistance: Greet and assist visitors, check IDs, and provide escorting when needed.
  • Mail and Package Coordination: Receive, organize, and distribute incoming mail and packages.
  • General Office Support: Assist with additional administrative tasks as needed to keep operations running smoothly.
What We’re Looking For
We’re seeking someone with:
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Excellent communication skills, both written and verbal, with the ability to resolve issues diplomatically.
  • Proficiency in office software, including Microsoft Office 365 and general administrative tools.
  • Knowledge of HIPAA regulations and the handling of confidential information (preferred).
  • Professional phone and in-person etiquette, with attention to grammar and presentation.
Education & Experience
  • High school diploma or equivalent required; college degree is a plus.
  • Previous experience in a medical office or billing environment is highly preferred.
  • Proficiency with desktop and laptop computers, Windows applications, and office technology.
Physical Requirements
  • Ability to sit or stand for extended periods and perform light lifting (up to 15 pounds).
  • Comfortable working at a desk and on a computer for prolonged periods.
