Receptionist
SUMMARY DESCRIPTION:
Ensure all incoming company phone calls are answered promptly by performing the following duties:

Reports to: VP of Executive Office
Supervises: This job has no supervisory responsibilities
ESSENTIAL JOB FUNCTIONS AND RESPONSIBLILITIES:
· Professionally answers and directs all incoming phone calls.
· Ensure phone calls are redirected accordingly.
· Greet guests in a professional, friendly, hospitable manner.
· Open and close visitor area (locking doors, closing blinds, turning off lights).
· Perform a variety of clerical duties.
· Deliver and pick up mail from post office.
· Sort and distribute mail within office.
· Responsible for comparing prices of various office supplies and ordering supplies when stock is low.
· Responsible for keeping supply closet and copy room adequately stocked.
· Attendance is an essential function of this position.
QUALIFICATIONS
- Must be able to read, write and speak clearly in the English language.
- High School diploma or GED required; College preferred
- One (1) to Two (2) years of Clerical experience.
- Proficiency in or knowledge of a variety of computer software applications, including but not limited to Excel and Microsoft Word software.
- High level of interpersonal skills to handle sensitive and confidential situations and documentation.
- Knowledge of office administration procedures.
- Ability to operate most standard office equipment.
- Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Proficient spelling, grammar and written communication skills.
- Excellent telephone and oral communication skills.
- Experience and or the ability to operate a multi-phone switchboard.
- Excellent phone etiquette.
- Excellent verbal communication skills.
- Punctual.
- Able to work with minimum supervision.
- Customer service orientated and driven.
- Professional appearance.
- Business casual.
- Acknowledgment, acceptance and an understanding of the essential role of the Receptionist position. That means that due to the need for having the Receptionist present at the reception desk, the receptionist participation in company events, (e.g. all employee meetings, christenings, and other company sponsored events) will not be possible unless properly relieved by another receptionist fill-in.
- The Receptionist is expected to have switchboard open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage will be provided for a one-hour lunch, as well as morning and afternoon breaks of 10 minutes each. The Receptionist should work with relief coverage to determine appropriate times for lunch and breaks.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

TRAVEL REQUIREMENTS
This position requires driving a vehicle as necessary for errands and business related meetings. Employee and/or applicant must successfully complete a Motor Vehicle History check and possess and maintain a current valid driver's license in their state of residence.
