Fleet Data Entry Clerk - Trucking
We are looking for a Fleet Data Entry Clerk to be responsible for monitoring, maintaining, and improving the transportation process. Works closely with the Fleet Manager and Director of Fleet and Safety to interact with and directly influence the development, performance, and maintenance of the vehicles and trailers to ensure an efficient, safe, compliant, and quality fleet while maximizing service, performance, value, and profitability. This position requires constant and effective communication with dispatchers, drivers, and customers to optimize dispatch and delivery times, ensure shipment process efficiency, and facilitate excellent customer satisfaction.
Fleet Data Entry Clerk’s Essential Duties
- Updates and monitors fleet management information at all levels of the business by working closely with the fleet team and the Director of Fleet and Safety.
- Manages and reports on fleet inventory, parts inventory, tire program, fuel, PDI, breakdowns and repairs, and oil analysis.
- Monitors, troubleshoots, develops, and executes regular objective reporting of the company's fleet management systems (Motive) to measure and support continuous improvement and resolve any vehicle issues related to safety, hardware & software failure, or preventative maintenance.
- Collects, reviews, and addresses all issues on Driver's Vehicle Inspection Reports, formally known as (DVIR) to ensure proper completion of required documentation and reporting.
- Proactively communicates and responds to the needs of vehicles and staff in a prompt, accurate, and positive manner, including emergency situations.
- Perform other duties as determined and required based on business needs.
Education and License
- Must have a high school diploma or equivalent.
- Must possess a valid driver's license and a clean driving record.
- Class B CDL preferred but not required.
Experience
- At least one (1) years of progressive experience in Fleet Management experience preferred.
- Experience in transportation, logistics, and supply chain solutions preferred but not required.
- Maintenance, repair, and overhaul of heavy-duty automotive and truck equipment experience preferred.
Skills
Must have the following skills and/or abilities:
- Fluent in English, both oral and written, is required. Bilingual in Spanish preferred.
- Basic working knowledge in DOT compliance as well as OSHA safety guidelines and FMCSA regulations applicable to the work.
- Exceptional attention to detail and focus on a specific task and thinking through and attending to all critical details.
- Excellent collaboration skills when working with supervisor, other team members and staff on a joint objective while maintaining integrity, professionalism, and respect. Examples include communication, open-mindedness, and conflict resolution.
- Strong analytic acumen with proven experience in performance management/monitoring systems.
- Proficient work ethic, organization, analysis, planning, and time management skills in order to set priorities and meet assigned deadlines.
- Project a courteous, professional, and positive approach with clients/customers, contractors, employees, and authorizing agencies while providing prompt, efficient, and accurate assistance.
- Proficient in Microsoft Office, ticketing systems, and standard industry routing and fleet software like Motive and excel.
- Strong knowledge of laptop, tablet, notepad, or other devices used with transportation-related work activities.
- Ability to work in a fast-paced environment, and ability to adapt and be flexible to frequent changes in all areas of responsibility.
Physical Requirements
- Sit or stand for 4 -8 hours within a given day while performing essential duties, including walking on a variety of surfaces and for potentially long distances.
- Constantly use fingers and hands when inspecting equipment; dialing/answering the phone; and operating a vehicle or other equipment and machines.
- Occasionally lift or move up to fifty (50) pounds without assistance.
- Ability to hear average or normal conversations and receive ordinary information through verbal communication in person or over the telephone.
- Average, ordinary visual acuity necessary to read/follow maps, routes, and GPS system, and prepare or inspect equipment or documents.
- Capable of moving about, pushing, pulling, climbing, stooping, squatting, kneeling, standing, and/or ascending/descending stairs/ladders to gather or deliver documents on-site.
Working Conditions
The majority of work is performed in an office atmosphere located inside a building with no hazardous or significantly unpleasant conditions. May require occasional customer location, warehouse, or storage yard visits in outdoor weather conditions with exposure to extreme cold, heat, and noise depending upon truck activity. May be exposed to heavy and noisy industrial equipment. Exposure to hazardous chemicals and waste. Use of personal protective equipment (PPE)is often required, and proper use and maintenance of the required PPE is mandatory for all employees. May travel locally during the workday.
