JOB SUMMARY:
Under the direction of the Operations Director, or designate, and as part of the leadership team, works as a consistent point of contact for facility and maintenance related concerns. Within the context of client-centred supportive housing, and following principles of psychosocial rehabilitation, housing first, harm reduction and trauma-informed practice, oversees the day-to-day operation and maintenance of assigned facilities. Promotes a safe, healthy and non-threatening environment that instills a sense of dignity and self-respect for all residents and service users. Develops, implements, and evaluates strategic plans, goals, objectives, policies and ensures safety for CMHA Mid-Island facilities operations and maintenance. May supervise staff.
This position is an integral role for the continued implementation and growth of CMHA Mid Island Programs and Services. The successful candidate must be flexible, motivated and invested in the organization. Strong leadership, communication, organizational, technology and program planning skills are essential.
TYPICAL FUNCTIONS AND RESPONSIBILITIES
- Develops, implements, and evaluates strategic plans, goals, objectives, and policies for CMHA Mid-Island facilities operations and maintenance.
- Establishes, monitors, and carries out preventative maintenance procedures and schedules for buildings, equipment, and grounds.
- Ensures building and equipment meet all safety, security, and fire regulations and policies.
- Performs budget duties such as developing budget submissions, preparing and presenting budget justifications and presentations, monitoring expenditures, following up on anomalies, and taking action to resolve problems. Maintains related records and reports.Makes recommendations for major repairs and purchases to Operations Director.
- Oversees the day-to-day operation of the organization’s centralized purchasing, receiving, warehousing, and inventory distribution functions by performing duties such as establishing, evaluating, and revising inventory control systems, establishing inventory re-order points, developing inventory forecasting models, forecasting inventory levels, purchasing, and resolving problems with customers and vendors.
- Tenders, negotiates, evaluates, and manages purchase contracts.
- Completes and maintains related records and documentation such as statistics, reports, business plans, and proposals related to activity of the organization’s centralized purchasing, receiving, warehousing, and inventory distribution functions.
- Works with Tenancy Support Coordinator to develop priorities and strategies relating to housing, residence maintenance and suite turnover.
- Supervises staff by performing duties such as assigning work, providing feedback and evaluation, determining training requirements, orienting new staff, and maintaining timekeeping and attendance records.
- Participates in recruitment and selection of staff by performing duties such as screening applicants, participating on interview panels, providing input into the development of interview questions, and making hiring recommendations.
- Works ethically and professionally in a team setting, including the ability to maintain confidentiality.
- Communicates and collaborates with other CMHA MI staff and programs
- Participates and actively engages in regular leadership meetings.
- Participates in on-call rotation.
- Ensures the maintenance, cleanliness, and safety of the facilities.
- Contacts outside contractors for maintenance and inspection work as required.
- Ensures the residence’s inventory of supplies is maintained by performing duties such as contacting outside suppliers and following up on discrepancies.
- Monitors work performed by contractors, prepares estimates of labour and material costs, contacts external contractors and tradespeople to obtain quotes, and arranges for major repairs and maintenance work.
QUALIFICATIONS:
Typical Education, Training and Experience
- Bachelor’s degree in Facilities Management, Business Administration, or similar programs.
- Recent, related experience of five years
- Leadership, managerial, and office experience, or an equivalent combination of education, training and experience.
- Valid BC Driver's License.
- Must have own reliable vehicle
