Location: Metairie, LA 70002

Hours: Full-Time. Monday - Friday 8am - 5pm.

Department: Administration

As a non-exempt, full-time Executive Receptionist at LA Health Solutions, you will be the first point of contact for our partners, visitors, and staff. Your role is crucial in shaping the first impression of our organization by creating a positive and welcoming environment. This position goes beyond traditional receptionist responsibilities, focusing on providing executive-level support to our administrative team.

We are seeking a dynamic individual who understands the importance of a positive, courteous, and professional attitude in the workplace. The ideal candidate possesses an excellent work ethic with exceptional organizational skills and can adapt to the fast-paced and evolving nature of the healthcare industry.

Essential Job Responsibilities:

1.       Front Desk Management:

·         Greet and assist visitors with a warm and professional demeanor.

·         Direct and coordinate incoming calls, ensuring prompt and accurate routing.

·         Maintain a tidy and organized reception area.

2.       Executive Support:

·         Provide administrative support for members of the Executive Team as needed.

·         Manage conference room and executive calendars to prepare for meetings in advance.

·         Prepare and distribute correspondence on behalf of executives.

3.       Communication:

·         Handle inquiries and provide accurate information promptly.

·         Effectively communicate with internal teams, external partners, and patients.

·         Demonstrate excellent written and verbal communication skills.

4.       Administrative Tasks:

·         Manage office supplies and coordinate maintenance of office equipment.

·         Assist the administrative team with various tasks, including data entry, document preparation, and filing.

·         Take the initiative in offering assistance if there’s downtime.

5.       Technology Proficiency:

·         Utilize the latest office technology and communication tools.

·         Maintain proficiency in software applications relevant to receptionist and administrative tasks.

 

Qualifications:

·         High school diploma or equivalent, some college preferred.

·         Two or more years of experience in office administration or related fields is preferred.

·         Proficiency in Microsoft Office Suite is a plus.

·         Exceptional organizational and multitasking abilities are a must.

·         Strong interpersonal and communication skills are a must.

·         Ability to handle confidential information with discretion is a must.
