Overview
A strategic role supporting the President across multiple business entities, combining high-level administrative expertise with technical proficiency to drive organizational efficiency and executive success in a fast-paced environment.
Core Responsibilities
Executive Support
  • Manage the President's complex calendar across multiple business entities, including strategic scheduling, meeting preparation, and follow-up
  • Coordinate high-stakes meetings, board presentations, and executive travel arrangements
  • Handle sensitive communications and correspondence with key stakeholders, board members, and external partners
  • Prepare and edit executive presentations, reports, and communications
Project Management
  • Lead and track multiple strategic initiatives across various business entities
  • Create and maintain project timelines, documentation, and status reports
  • Coordinate cross-functional teams and ensure deliverables meet deadlines
  • Develop and optimize administrative processes using technology solutions
Technology & Systems Management
  • Implement and manage digital tools for workflow optimization, including project management software, CRM systems, and collaboration platforms
  • Create and maintain digital filing systems and knowledge bases
  • Leverage automation tools to streamline routine tasks
  • Analyze data and prepare executive dashboards and reports
Administrative Leadership
  • Serve as the primary point of contact between the President's office and internal/external stakeholders
  • Manage confidential information with the utmost discretion
  • Coordinate and supervise administrative support staff across business entities
  • Maintain budget tracking and expense management for the executive office
Required Qualifications
  • Bachelor's degree in Business Administration or related field preferred
  • 2+ years of executive support experience, preferably in a multi-entity organization
  • Advanced proficiency in Microsoft Office Suite, project management software, and digital collaboration tools
  • Demonstrated experience with process improvement and technology implementation
  • Exceptional organizational and time management skills
  • Outstanding written and verbal communication abilities
  • Strong problem-solving skills and ability to work independently
  • Experience in a progressive, high-growth company environment
  • Prior experience supporting C-level executives is preferred
Technical Competencies
  • Expert in Microsoft 365 ecosystem (Teams, SharePoint, Power Automate)
  • Experience with project management tools (e.g., Asana, Monday.com, or similar)
  • Proficiency in data visualization and reporting tools
  • Knowledge of workflow automation and productivity applications
  • Familiarity with CRM systems and enterprise software

Working Conditions
