We’re seeking a proactive and skilled Executive Assistant to support our owner with both day-to-day and strategic tasks.

Position Overview

The Executive Assistant will be a key part of our operations, providing high-level support to the company owner. This role involves handling a range of administrative and strategic tasks, optimizing workflows, managing the owner’s schedule, and acting as a key communication link within the company.

Key Responsibilities

  • Calendar & Schedule Management: Organize meetings, calls, and appointments; prioritize scheduling to maximize productivity.

  • Communication Liaison: Act as the first point of contact, manage email correspondence, and field inquiries to the appropriate teams.

  • Project Support: Assist with company initiatives, research, and project management, ensuring deadlines are met and milestones achieved.

  • Travel Coordination: Arrange travel plans, accommodations, and itineraries for both business and occasional personal trips.

  • Meeting Preparation: Prepare agendas, briefing materials, and presentations for meetings; document and follow up on action items.

  • Confidentiality & Discretion: Handle sensitive information with integrity and professionalism.

  • Office Coordination: Collaborate with internal departments to support company-wide initiatives and maintain efficient workflow.

Preferred skills and qualifications

  • Experience in overseeing budgets and expenses

  • Experience in developing internal processes and filing systems

Qualifications

  • Experience: 3-5 years of experience as an executive assistant or in a similar high-level administrative role.

  • Skills: Exceptional organizational and multitasking abilities; strong written and verbal communication skills.

  • Tech Proficiency: Proficient with Microsoft Office Suite, Google Workspace, and other productivity tools; experience with project management software is a plus.

  • Personal Qualities: Proactive, adaptable, detail-oriented, with a growth mindset aligned with our company values.

  • Education: Bachelor’s degree in business administration or a related field.
