Summary of Duties:

The Executive Assistant to the General Manager of Community Services plays a key role in providing high-level administrative support to the General Manager (GM). This position ensures the seamless operation of the Community Services department through various administrative, communication, and coordination tasks. The role involves managing confidential information, supporting interdepartmental and external communications, and maintaining high standards of professionalism. A high degree of resourcefulness and the ability to work independently are essential.

Key Deliverables and Expectations:

•Collaborate closely with the GM, department heads, and external stakeholders (e.g., Chiefs & Council, government agencies).
•Assist in preparing reports, presentations, and communications for Chiefs & Council and community members.
•Manage the flow of information between the GM and various internal and external stakeholders.
•Facilitate effective communication with community members and external partners.
•Schedule and coordinate meetings, including preparing agendas, meeting packages, and minutes using relevant tools (such as iCompass).
•Support logistical arrangements for meetings, events, and workshops, ensuring all equipment (e.g., projectors, microphones) is functional.
•Draft and manage correspondence, memos, and travel arrangements.
•Handle financial processes, including honoraria reconciliation and procurement tasks, using systems like eRequester.
•Reconcile Visa transactions and assist with financial documentation for department activities.
•Manage the GM’s calendar, resolve scheduling conflicts, and maintain updates on appointments and deadlines.
•Coordinate follow-ups on action items and key deliverables from meetings.
•Providing logistical and administrative support for departmental projects and community programs is integral, including supporting project budget management

•Special projects are coordinated as needed to assist the GM and Community Services team. The Executive Assistant acts as a liaison between the GM, community members, and external partners to ensure smooth communication and issue resolution.
•Perform other related duties as requested by the General Manager of Community Services.

Experience and Attributes:

•College degree, diploma in business administration or office administration or an equivalent combination of education, training and experience.
•Advanced level Window/ MS Office Word, Excel, Outlook, Erequester and iCompass.
•Accounting Fundamentals an asset.
•Knowledge of office management systems and procedure (knowledge and experience using Erequester and iCompass an asset)
•Outstanding written and verbal communication skills in the English language.
•Ability to work independently and as an integral member of various teams.
•Strong organizational skills, meticulous attention to detail and time management skills.
•Ability to meet deadlines prioritizes assignments, manage multiple tasks simultaneously and maintain confidentiality.
•Motivated self-starter and with strong interpersonal skills.
•Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members.
•Knowledge and interest in Lil’wat Nation territory, culture and history an asset.
•Successful Completion of a Vulnerable Sector criminal record check.
•Valid Class 5 Driver’s license, clean Driver’s Abstract, and access to a Vehicle
