POSITION SUMMARY:  

We are seeking a motivated and dedicated Executive Assistant to support the leadership team of a regional medical practice in Denver, CO. This position will perform a wide range of tasks – some complex, and some confidential. The purpose of this role is to expand the availability and time of the CEO, COO and Director of Human Resources by independently completing tasks as assigned.  The ability to manage time and multitask will be critical in this role as well as a natural curiosity and desire to support health care services at a high level.

RESPONSIBILITIES:

 

·        Administrative support for a fast-paced medical provider with clinical paperwork, monitoring tasks in an Electronic Health Record, and managing patient appointments.

·        Assist with updating company operational reports, creating graphs and presenting operational data in a manner that helps steer company workflows & improves performance

·        Prepare materials for employee orientations and applications as needed

·        Contacts job applicants and review open job posting progress

·        Maintain organized and up-to-date records and files, both physical and digital

·        Maintain the confidentiality of sensitive information and adhere to HIPPA requirements

·        Monitors calendars and schedules for the Executive Team

·        Provide general administrative support as needed, including filing, photocopying, and other tasks.

·        Performs highly complex and varied tasks requiring independent knowledge and its application to a variety of situations, as well as exercising independent judgement.

·        Answer phone calls and return voicemails

·        Maintain an organized, friendly and prepared office environment

 

REQUIREMENTS:

·        Excellent written and verbal communication skills with emphasis on clarity, brevity and conciseness

·        Strong computer skills, including typing, proficiency with document management systems, scanning software, and Microsoft Office Suite

·        Ability to accurately input data and maintain meticulous file organization

·        High level of accuracy when entering and verifying data

·        Must be highly organized, methodical and able to prioritize multiple tasks and projects

·        Ability to handle urgent and confidential matters with discretion

·        Maintain a professional attitude and appearance

·        Must be able to work independently without supervision to complete assigned tasks

·        Must have reliable transportation

·        Additional administrative duties as needed

PHYSICAL/MENTAL DEMANDS AND WORK ENVIRONMENT:

·        Requires sitting, standing and walking associated with a normal office environment.

·        Requires the use of office equipment such as copiers, scanners, computers, telephones, and fax machines.

·        May view computer screens for long periods of time.

·        Must be able to prioritize activities when faced with competing demands.
