Temporary Executive Assistant
Job Overview: Under the direct supervision of the CEO, the Executive Assistant provides
detailed and confidential assistance to the CEO and other C-suite Executives as may be
requested.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assistant to CEO
Assist C-suite Executive as may be requested
Prepare/Distribute Board of Director Packets for monthly board meeting
Record/Transcribe minutes for committee and board meetings
Make travel/dinner arrangements for board and staff meetings/outings
Liaison for Board/Staff as needed
Liaison for HCP product and services vendors/suppliers as needed
Maintain detail administrative files
Prepare/Distribute correspondence between management team & staff
Transcribe/Prepare out-going HCP correspondence. Secure signatures.
Monitor answering service message: disseminate and distribute via fax
Procurement administrator for non-clinical products/services/supplies. Maintain inventory for
such.
Prepare non-clinical product returns
Reconcile invoices with non-clinical purchase orders, provide to accounts payable
Create patient and non-patient forms for patient/non-patient use (clinical and non-clinical forms)
Desktop/advertising publications as requested
Update and maintain employee/Provider emergency call tree
Receive, record, and distribute business and pharmacy licenses and certificates necessary for
compliance
Assist Maintenance Manger as needed with procurement of products and/or services
Place approved ads for publication as requested
Prepare/Distribute Provider after hours answering service call schedules
Research various task, products, services, trends, etc. as requested
In the absence of a Credentialing Specialist:
Credentialing of Medical Providers
Maintain confidential files
Complete and submit credentialing applications for MCOs
Monitor and update licensing; Federal and State

Update MCOs regarding Provider affiliation/termination
Ensure completion of Credentialing and Privileging forms
Stay informed regarding changes in the Credentialing/Privileging process
Researches and conducts data to prepare documents for review and presentation by
boards of directors, committees, and executives.
Helps prepare for meetings.
Accurately records minutes from meetings.
Greets visitors and decides if they should be able to meet with CEO.
Utilizes various software, including word processing, spreadsheets, databases, and
presentation software.
Reads and analyzes incoming memos, submissions, and distributing them as needed.
Other duties and responsibilities as may be requested by the CEO
Skills/Requirements
Proven experience as an executive assistant or other relevant administrative support
experience.
In-depth understanding of entire MS Office suite.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Education/Certification/Licensure:
Minimum preferred Associate Degree and 3 years of relevant experience or high school diploma/GED and 8 years of relevant experience
