Executive Assistant

Introduction:


Pinnacle Lifestyles is seeking a highly organized and detail oriented Executive Assistant to join our Head Office team in Calgary, AB. Reporting directly to the CEO, the Executive Assistant will be responsible for providing administrative support, digital marketing support, streamlining day-to-day operations and project management functions through coordinating initiatives that align with our strategic objectives.

 

The successful candidate will have a proven track record of effectively supporting a senior executive in a fast-paced environment and will possess strong communication, time management and organizational skills. This is a hybrid role requiring a minimum of 4 days in the office on a weekly basis.

 

Duties & Responsibilities:

 

  • Manage the CEO’s Outlook inbox and calendar, including scheduling meetings, appointments and travel coordination
  • Process incoming calls, emails and mail received; Determine appropriate course of action, referral or response
  • Prepare initial drafts of correspondence on the CEO’s behalf. Review, format and proofread documents for accuracy before distribution
  • Assist the CEO in reviewing various documents and correspondence including but not limited to development applications, investor updates, marketing campaigns, proposals, legal documents and general inquiries
  • Prepare agendas, take minutes and follow up with applicable parties on action items arising from meetings
  • Coordinate events, webinars, trade shows and other promotional activities
  • Create a document management/filing system to organize the CEO’s OneDrive, Outlook and Sharepoint
  • Support special projects as assigned by the CEO; Coordinate with departments and third parties to ensure efficient communication and project execution
  • Perform general clerical duties including filing, scanning, expense submission and other tasks as needed
  • Manage inquiries, schedule appointments, and follow up with sales leads in our CRM, HubSpot
  • Regularly report sales updates and insights to the executive team
  • Maintain detailed knowledge of our resorts, leasing and cooperative share models, and market trends to address client questions confidently
  • Assist the Marketing Coordinator with social media management and website maintenance
  • Use initiative and good judgment to relieve the CEO of administrative detail
  • Maintain a high level of professionalism, diplomacy and confidentiality at all times

 

Required Skills & Experience:

 

  • 5+ years of senior administrative experience required; Previous experience in financial services, real estate or tourism and hospitality industries preferred
  • Project Management experience required; Six Sigma certification would be an asset
  • Proficiency in HubSpot or similar CRM system
  • Familiarity with CMS content management systems and basic social media marketing
  • Outstanding verbal and written communication skills
  • Exceptional organizational skills, attention to detail, and custom service focused mindset
  • Strong time management skills and a proactive approach to problem-solving
  • Willingness to thrive in a fast-paced, entrepreneurial environment
  • Passion for outdoor living and an appreciation for recreational properties
