Location: Remote with travel to Tahltan Territory for the event(s)

 

Status: Part Time, 4-month Contract Position

 

Salary: $22 to $26 per hour based on experience

 

Closing Date: March 28, 2025

 

Tahltan Nation Development Corporation (TNDC) is seeking an Event Coordinator to plan, manage and execute TNDC’s 40th Anniversary Celebrations planned for Tahltan Territory. This four-month (April to July) part-time contract position (with potential for extension) will manage a major community celebration event in Dease Lake.

Working with the 40th Anniversary Celebration Planning Committee and TNDC Communications Team, the Event Coordinator will be responsible for overseeing the planning, production, logistics, promotion, and overall co-ordination of the celebration event.

The Event Coordinator will organize all aspects of the event, from sourcing venues to liaising with community contacts, entertainers, speakers, and overseeing event activities on site, including set up and strike down. Other duties include, but are not limited to, arranging accommodation, catering, childcare, entertainers, signage, promotional materials and transportation. The Event Coordinator will also establish and monitor the event budgets and manage onsite event support staff. Other duties will be assigned as necessary.

 

Responsibilities

All aspects of Event Project Management for activities, events and initiatives surrounding TNDC’s 40th Anniversary Celebrations:

  • Leading weekly Planning Committee calls, including organizing meetings, setting agendas, facilitating decision making, recording deliverables, detailing action plans and preparing follow-up materials.
  • Developing and updating event workplans, including activities, responsibilities, deliverables and deadlines.
  • Develop contract scopes and descriptions for activities, catering, childcare, entertainment, support staff.
  • Manage onsite registration of participants, prepare program agendas/activities, facilitate promotional materials and publicize events.
  • Lead and manage onsite set up, execution, and strike down, including tables/chairs, signage, audio visual, and event activities.
  • Engage, train and supervise support staff required for event.
  • Negotiate contracts for services, approve suppliers' invoices, maintain financial records, review final billing submitted to clients for events and prepare reports.
  • Other duties as required to ensure successful event(s).

 

Qualifications
  • Two (2) years of experience planning, managing and executing large events exceeding 100 participants.
  • Excellent time management skills and ability to manage multiple competing deadlines.
  • Excellent project management skills and ability to ensure deliverables by all members of the planning team.
  • Highly organized and detail-oriented, with a passion for making sure nothing is overlooked.
  • Ability to remain calm under pressure, and solve problems quickly and efficiently.
  • A collaborative team player who can lead by example and motivate others.
  • Personable and approachable, with a friendly demeanor that makes working with you a pleasure.
  • Balanced and adaptable, ability to remain approachable and professional while being and relaxed.
  • Dedicated to delivering high-quality events that position TNDC’s brand favourably.
  • Ability to manage stress and perform effectively under pressure.
  • Working knowledge of Microsoft 365 suite (Word, Excel, PowerPoint, Microsoft Teams).

 

Conditions of Employment
  • Willingness to sign an Oath of Confidentiality.
  • Willingness to work weekends, evenings, or extended hours to meet deliverables during busy periods.
  • Occasional travel required (e.g. to and within Tahltan Territory).
  • Anticipate 20 to 40 hours per week with potential to help with other 40th Anniversary Celebration Activities.
