The Mountain House Drop-In Center Coordinator is primarily responsible for overseeing the drop-in center and maintaining the administrative portions of clinical charts as appropriate. All his/her activities as an employee of MHRS will be performed in an ethical, professional manner and in accord with the policies and procedures of MHRS and will be subject to the direct supervision of the Program Manager. 

 *This position is eligible for a $1,500 sign on bonus.

ESSENTIAL JOB FUNCTIONS: 

1.    Fulfill the duties of the support staff:  

·         Greet clients. 

·         Answer the telephone, take, and post messages and coordinate with the therapists. 

·         Assist clients to schedule an intake appointment. 

·         File necessary paperwork. 

·         Schedule clients in EHR. 

·         Collect client fees, issue receipts, call clients regarding unpaid balances. 

·         Direct emergencies to clinical staff. 

·         Open building for the workday and closing at the end of the workday. 

·         Monitor and maintain the drop-in center, including the kitchen, shower, and bathroom. 

·         Assist with scheduling and coordinating activities.  

·         Keep the drop-in center safe by enforcing rules and asking people to leave if necessary. 

·         Distribute mail, memos, and other information to appropriate staff. 

·         Attend administrative staff meetings, Mt. House meetings and all staff meetings. 

·         Account for petty cash and QOL cash drawers, report to Financial Director. 

·         Request petty cash and QOL monies when needed. 

·         Submit purchase orders for office and household supplies to Financial Director. 

·         Communicate with Office Manager and Program Director any facility needs, including plumbing, office cleaning, phone problems, computer, etc. 

·         Maintain adequate supply of beverages, silverware and condiments. 

·         Pull and re-file charts for staff psychiatrist. 

·         Support work for Mountain House staff, including copying, making phone calls, faxing, etc. 

·         Phone clients for appointment changes and cancellations. 

·         Making flyers for all activities. 

·         Inform clients of upcoming social events.  

·         Alert staff when scheduled clients arrive. 

·         Provide relief duties for administration upstairs if needed. 

2.    Casework or casework assistance as requested by clinical staff, including: 

·         Filling out forms. 

·         Making phone calls. 

·         Facilitating process for clients who self-administer medications at Mountain House. 

·         Interacting with clients in the drop-in center. 

3.    Participate in CARF accreditation activities including committees, trainings, and exercises. 

4.    Perform other duties as assigned by the Program Manager, Office/Finance Manger or the Executive Director. 

 

MINIMUM QUALIFICATIONS: 

1.    A high school diplomas. 

2.    Two years of college or the equivalent in post-high school training, and/or two years of work experience in a business office, performing at least some of the tasks required for this position. 

3.    A clear understanding of, and commitment to, the principles of confidentiality in mental health work. 

 

WORK ENVIRONMENT: 

The Administrative Assistant will work primarily in the offices of Mountain House.  However, when administrative duties require it, he/she will perform some duties outside of MHRS at appropriate locations within the community.
