Documentation Specialist, 4 month contract

We are looking for an accountable and detail-oriented Documentation Specialist. The ideal candidate is a proactive and organized individual who can manage multiple priorities and ensure documentation to support our transition to ERP is created in a timely manner.

The role will be reporting into our Director of Operations and will be based in Delta, BC. This is an opportunity to grow your career in a high growth and fast paced company.

As the Documentation Specialist for our ERP transition, you will be responsible for creating, updating, and maintaining the documentation necessary to support the integration of our ERP system into our daily operations. You will work closely with various departments to ensure that our standard operating procedures and work instructions are in sync with the new ERP-driven processes. Your attention to detail and ability to communicate complex ideas clearly will be essential in ensuring a smooth transition and maintaining compliance within the cannabis industry.

Responsibilities:

  1. Review and Assess Current Documentation:
  • Conduct a comprehensive review of existing standard operating procedures and work instructions to identify areas that require revision due to the ERP implementation.
Adapt and Create Documentation:
  • Collaborate with cross-functional teams to modify existing documents and create new documentation that aligns with the processes facilitated by the ERP system.
Maintain Documentation:
  • Regularly update and maintain all documentation to ensure accuracy and compliance with evolving processes and industry regulations.
Training Materials:
  • Develop training materials and user guides to assist employees in adapting to the new ERP-driven processes.
Quality Assurance:
  • Ensure that all documentation complies with internal quality standards and industry regulations, with a focus on data accuracy and consistency.
Collaboration:
  • Collaborate with various stakeholders, including IT, Operations, Compliance, and Quality Assurance teams, to gather information and feedback to create effective documentation.
User Feedback Integration:
  • Collect feedback from end-users and incorporate their suggestions and needs into documentation to optimize usability and comprehension.


Requirements:

  • Bachelor's degree in a related field (e.g., Information Science, Technical Writing, Business Administration) or equivalent work experience.
  • Proven experience in documentation and technical writing, especially in a regulated industry (cannabis industry experience is a plus).
  • Strong knowledge of ERP systems and their impact on business processes.
  • Exceptional written and verbal communication skills with an ability to explain complex concepts in a clear and concise manner.
  • Excellent organizational and project management skills, with an eye for detail.
  • Proficiency in documentation tools and software, such as Microsoft Office, SharePoint, or other document management systems.
  • Adept at collaborating with cross-functional teams and incorporating feedback into documentation.
  • Familiarity with regulatory requirements in the cannabis industry is advantageous.
  • Ability to adapt to changing priorities and handle multiple tasks simultaneously.
