Summary of Duties:
Under the supervision of the Recreation Manager, the Recreation Coordinator is responsible for planning, coordinating, and delivering recreation programs. This role provides operational and administrative support to the Recreation Manager and assists in the facilitation of youth programming. They will be required to help facilitate youth programs and report back to the Recreation department.
Key Deliverables and Expectations:
- Assist the manager with communication, including operational updates, service delivery coordination, and promotional activities within the department.
- Provide administrative support for meetings, communications, advertisement, conference calls, and video meetings, including scheduling, preparing agendas, posters and recording minutes.
- Order office supplies, textbooks, materials, and any equipment required for community events or programs.
- Assist with accounting activities, including preparing cheque requisitions in eRequester, recording payments, issuing receipts, and tracking and managing expenses accurately.
- Plan, organize, and support Youth Programs for children aged 8 to 12.
- Develop and distribute weekly program schedules for all youth activities to Youth and staff.
- Coordinate and monitor daily work schedules, including staff training and supervision.
- Ensure & provide a safe and enjoyable experience by adhering to all safety and emergency procedures.
- Build positive relations with program participants, parents, team members and the public.
- Ensure high levels of morale by providing mentorship and support to staff to ensure that the program’s objectives
- and mission are met.
- Keep updated records and provide activity reports to the Recreation Manager.
- Manage the registration process and logistics related to activities.
- Recognize and respond effectively to emergencies, including proper follow up reporting.
- Act as a direct liaison with sports instructors and parents.
- Maintain records of first aid incidents, actions, and results.
- Conduct safety checks of program equipment and facilities daily.
- Reporting anything that impacts the quality and safe delivery of the program in a timely manner.
- Perform other related duties as requested.
Experience and Attributes:
- College degree, diploma in business administration or office administration or an equivalent combination of education, training, and experience.
- Must have 1-3 years of administrative experience with a willingness to learn.
- Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
- Accounting Fundamentals an asset.
- Knowledge of office management systems and procedures (experience using eRequester an asset)
- Outstanding written and verbal communication skills in English.
- Previous experience working with youth or in recreation programs, either as a facilitator or participant, is considered an asset.
- Coaching and First Aid training an asset; Trainings will be provided.
- Ability to analyze situations, plan, organize, and research.
- Ability to follow instructions and to maintain working relations with fellow employees and the public.
- Strong organizational skills, meticulous attention to detail and time management skills.
- Able to work independently and as an integral member of various teams.
- Motivated self-starter with strong interpersonal skills.
- Able to meet deadlines, prioritize, multi-task and maintain confidentiality.
- Available for various shifts, including evenings, some weekends and holidays.
- Knowledge and interest in Lil’wat Nation territory, culture, and history an asset.
- Class 5 driver's license and reliable vehicles are considered an asset.
- Must be able to provide a clear Criminal Records Check including vulnerable sector.
