This is a full-time, 6-month contract with the possibility of renewal of the contract.

The Position:

Reporting to the Manager, Strategic Communications & Initiatives, the Coordinator, Digital and Communications will position the school positively across its social media platforms and assist with key communications opportunities. This includes, but is not limited to, collecting and coordinating content, posting content online, maintaining and refreshing content on the school’s website, proactively coordinating public relations leads and writing and disseminating community updates. This role requires a proactive, motivated individual who can multitask, work in a team-based environment and build positive relationships with internal stakeholders across the organization.  

 Specific Accountabilities:

Digital responsibilities include:

  • In consultation with the Manager, Strategic Communications & Initiatives, plans and executes social media opportunities to promote the school. This includes preparing a content calendar for various social media channels, writing social media copy, seeking approvals, editing photography when needed, sourcing photography of key events and activities and attending occasional events and activities to capture photos or video clips for social media use.
  • Reviewing and tracking engagement of posts on Havergal’s main social media channels; monitoring inboxes and direct messages; flagging any necessary issues, directing queries or responding appropriately.
  • Work with Human Resources and other internal stakeholders on a content plan to activate more thought leadership and consistent presence on LinkedIn.
  • Implementing any website copy changes (WordPress knowledge required) in consultation with clients and the Manager, Strategic Communications & Initiatives. This includes any refreshing of content, editing and/or updating of imagery.
  • Liaising with external vendors to submit service requests and ensuring the completion for these requests.
  • Facilitating straightforward copy edits to key digital publications and converting files to digital publishing platforms.

Communications responsibilities include:

  • In consultation with the Manager, Strategic Communications & Initiatives, follows up on storytelling opportunities that support the school’s strategic plan, Empowering Excellence. This includes coordinating with internal stakeholders to leverage story ideas, writing progress updates/impacts and coordinating the communications to the community and/or specific stakeholder groups.
  • Proactively assisting story leads and coordinating details for media relations requests and activities. Assisting with pitches and following through on the coordination of key details.
  • Other communications duties as assigned by the Manager, Strategic Communications & Initiatives.

Qualifications, Knowledge and Experience:

  • Must possess a post-secondary degree or diploma in communications, marketing or a related discipline.
  • Must have at least two to three years’ experience using web content management (WordPress and MailChimp) and developing web content.
  • Must have at least two to three years’ experience creating and managing social media content and platforms.
  • Must have experience with HTML5 editors, CSS and web standards.
  • Knowledge of best practice and web design standards as they relate to Accessibility for Ontarians with Disabilities Act (AODA) requirements to ensure compliance of digital communications.
  • Strong writing, editing, proofreading and communications skills.
  • Knowledge of public relations and traditional media news outlets/cycles.
  • Must be proficient in Microsoft Office (Word, PowerPoint, Excel) and Google Workspace (Google Docs, Google Slides, Google Sheets).
  • Ability to work both in a team environment and independently, meet deadlines, organize multiple tasks and work under the time constraints.
  • Ability to deliver outstanding customer service to a myriad of clients.
  • Must be a self-starter who is eager to learn and can quickly master new and emerging technology and keep apprised of trends.
