Role:

As the Aquatic Operations Coordinator, you are responsible for the health and safety and overall guest and team experience in the aquatic facilities.  You will assist with overseeing the daily to one year out operations of all aquatic team members and the aquatics department. You will provide leadership and support critical administration to ensure the department is operating in an efficient and professional manner. You will participate in developing and creating public spaces and members spaces that connect and engage with our customers, community and employees in ways that are impactful in driving and advancing our cause.   You will engage with passion and be accountable to the team to help deliver strong results and impact, proving a safe and customer centric experience for our customers and employees.

Reports to: Manager, Aquatics

Hours: 40 hours per week (primarily in an administrative capacity with the requirement to teach or lifeguard as needed.

Typical work week

o Option 1: Sunday – Thursday 

Sunday 11am-7pm

Monday – Thursday 12-8pm

o Option 2: Tuesday – Saturday 

Tuesday – Friday 12-8pm

Saturday 11am-7pm

Responsibilities:

Administration 

Be a knowledgeable touchpoint for customers about experiences across all areas and deliver a high level of guest experience in the Aquatics area.

Take the lead and provide day to day direction and support to the Aquatic Lifeguard Team and Head Guards by role modelling the behaviours expected by our aquatic professionals including ensuring proper roaming pathways and scanning practices are taking place.  

Be an administrative point of contact for clubs, rental groups and lifeguards.  

Demonstrate a high sense of urgency, and ability to think clearly while handling multiple priorities in emergency situations.

Schedule 70+ lifeguards and 10+ headguards to support business operations, including shift coverage and event coverage all in accordance with Vivo policy and Alberta Employment Standards.

Monitor change in shifts and ensure adequate shift coverage is obtained through statistics and employee observations. 

Demonstrate flexibility and willingness to guard and/or teach when required. 

Support the Head Guards with shift management; pool set ups, maintenance, staff roles and responsibilities. 

Demonstrate an upbeat, approachable, and active personality to inspire and provide guests with a sense of self and place to belong.

Build authentic, respectful relationships with guests and all Vivo team members to provide the best possible community experience. 

Support the Aquatics Manager with the daily and weekly operations of the pool deck and continued running of aquatic experiences.

Partake in a variety of administrative duties and projects with a focus on areas that support membership and public drop-in experiences. 

Take ownership over the cleaning, maintenance and operations of the Aquatic facility ensuring duties are completed by the team in a timely manner, adhering to required lifecycle and warranty requirements. 

Participate in meetings, professional development activities and facility functions for continuous growth.

Work in collaboration with all teams on special events and rental groups (Schools, Sports Teams, Birthday Parties, etc.)

Participate in re-imagining the aquatic experience development process through a service design thinking lens and then implement and build capacity in the aquatic’s team to do the same

Under the direction of the Aquatics Manager, integrate and implement learnings and evolutions into team’s work in “real time” as a result of experimentation and testing.

Participate in the assessment, revisions, and recommendations of operational policies, procedures and training manuals to ensure they are aligned and support the new business model and team practices.

Prepare and maintain activity tracking reports and administration (Daily Stats, incident and accident reports, customer survey’s, etc.)

Support the vision & direction of Vivo for Healthier Generations.

Establish solid working relationships within the team and other departments.

Leadership

Participate in the recruitment, selection, and performance management processes for the department utilizing Culture and People best practices.

Support the Manager with empowering and holding the aquatic team accountable for achieving established work-plans and targets through the regular follow-up, feedback and coaching. 

Assist in designing and running effective training to continuously develop the aquatic team. 

Act as a role model of teamwork and provide mentorship leading the energy each shift to create a positive work environment.

Ensure department certification tracking is updated as needed and identify when team members have certifications coming due. 

Assist in the running of employee certification and recertification courses as needed.

In collaboration with the Aquatics Manager and Aquatic Program Coordinator, develop a team schedule that spans on a per session basis and follows labour laws with regard to guarding, teaching and other departments if team members’ work in other areas of the facility.

Design and run effective training sessions to continuously develop team members to be equipped to deal with high stress emergency situations in accordance with legislated requirements, industry standards, and Intermediate First Aid standards.

Member Experience

Contribute to asset management through tracking equipment lifecycles and maintenance, checking inventory, and ordering supplies.

Share individual passion and talents to show how you are an advocate of raising healthier generations.

Demonstrate the ability to work in a fast-paced environment that can at times be physically demanding.

Lead, manage and implement new ways of building play-based experiences as well as social, inclusive, learning environments for the Aquatic area.

Collaborate with fellow leaders to create tools and materials that benefit guests, team members.

Build strong relationships and co-create with our aquatic audience to determine their needs and what they value and make recommendations to Aquatic Manager with the goal to improve the overall customer experience and create meaningful touchpoints.

Ensure the pool allocation and website content is accurate and updated regularly.

Health & Safety

Run day to day aquatic operations, maintaining aquatic health and safety standards, first aid incidents analysis and prevention, equipment & supply inventory and ordering.

Contribute to a safe working environment by adhering to all Vivo Health and Safety requirements; Hold yourself and the team to a high standard of Safety Supervision and best practices of incident prevention as directed by current Alberta Health Services pool safety standards.

Provide leadership in high stress emergency situations following Emergency Response Procedures in aquatics and provide support to the entire facility in such matters.

Adhere to all training and certifications in accordance with Intermediate First Aid, National Lifeguard certifications, and Alberta Health Services Standards & Vivo Aquatic Training.

Ensure employees and customer compliance with safety standards and facility policies and procedures.

Qualifications:

Minimum 3 years of progressive aquatic leadership and supervisory experience

Current Intermediate First Aid and CPR-C/AED certifications

National Lifeguard

Swim Instructor

Lifesaving Instructor

Post-Secondary Diploma and/or University Degree in kinesiology, recreation or customer service management, business, etc.

The following certifications are considered an asset:

o Lifesaving Society Trainer

o National Lifeguard Instructor 

o First Aid Instructor

o Pool Ops 1

o Water Fitness Instructor
