Compliance & Education Assistant Part-time

24 hrs/per week.

A part-time, non-exempt status position that supports the implementation of the key elements of the Agency’s Compliance Program and Employee Education.  Assists in the administrative management and compliance monitoring of a portfolio of contracts and grant agreements.  Work assignments are complex and require a detail-oriented eye with a regulatory and/or database management background. Serves as a consultative resource to the CQE team and program personnel. Strong administrative support experience.  

  • Builds positive relations across the organization in support of the organization’s strategic goals to build a positive culture of compliance;
  • Acts with integrity, professionalism and represents the CQE Department in a favorable manner;
  • Provides daily support of initiatives pertaining to the implementation of the Agency’s Compliance Program;
  • Assists in the preparation of required programmatic monthly, quarterly and annual reports for perspective and current funding sources;
  • Periodically monitors the integrity of Electronic Healthcare Record (EHR) data.
  • Assigns and monitors employee compliance with education requirements;
  • Coordinates live training events including but not limited to New Employee Orientation, First Aid, CPR and Preventing Workplace Harassment;
  • Assists with new hire and annual compliance in-services and supports compliance education projects.
  • Manages the organization’s web-based eLearning database and application as a Relias System Administrator;
  • Attends and participates in all applicable meetings and training;
  • Conducts internal compliance record reviews and draft compliance communications and reports;
  • Support compliance improvement initiatives, as directed. Monitor improvement action plans accordingly;
  • Maintains logs, files, indexes, databases and other records pertaining to compliance, records management, and conflict management;
  • Participates in VA Regional and National Conference calls;
  • Provides general administrative support to the Compliance Coordinator and the Chief Compliance Officer.
  • Maintains knowledge of required regulating standards including Federal, NJ State, County, CARF, etc.
  • Perform all other duties and responsibilities associated with the position and as assigned by the Compliance Coordinator and/or Chief Compliance Officer.

Qualifications:

  • Bachelor’s degree from accredited college or university in non-profit administration/management, business administration, or public health administration or an in related field with compliance or regulatory experience; experience in non-profit grants or program compliance preferred;
  • Optimistic attitude that thrives in a dynamic and complex working environment;
  • Ability to participate as a team member and work independently, with limited supervision; willingness to take full responsibility for own work actions;
  • Exceptional analytical and problem-solving skills;
  • Ability to use judgment, tact, and discretion and maintain a high level of confidentiality;
  • Strong verbal and written communications skills; customer service oriented with the ability to interact professionally with culturally and linguistically diverse staff and external stakeholders;
  • Ability to handle multiple tasks and demands, establish priorities and work effectively in a deadline driven environment; accuracy and attention to detail in the performance of duties is of critical importance;
  • Ability to deliver presentations and training to all levels of personnel associated with the Agency;
  • Familiarity with NJ State and Federal funding agencies and regulations preferred;
  • Proficiency in Microsoft Office applications (Excel, Outlook, PowerPoint, Word); database management experience a plus.
