Compliance and Documentation Specialist
PRIMARY FUNCTIONS
The Compliance and Documentation Specialist is responsible for the accurate and timely completion of compliance-related tasks, including overseeing 90-day documentation, annual client documentation reviews, and ensuring the monthly credentialing of medics in line with billing requirements. This role also involves maintaining a well-organized credentialing system and staying informed of regulatory changes impacting documentation and billing compliance. The Specialist will collaborate with the Director of Compliance to support audit preparation and address documentation needs.
REPORTS TO
This position reports to the Director of Compliance and works collaboratively with other Emergicon personnel in all departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Documentation Management:
• Ensure the timely and accurate completion of 90-day documentation reviews.
• Oversee and perform annual reviews and updates of client documentation to ensure compliance with current standards and regulations.
Credentialing:
• Conduct monthly checks and updates on medic credentials to ensure continued compliance with regulatory and billing requirements.
• Maintain an organized and efficient system for the storage, retrieval, and tracking of credentialing records.
Compliance Monitoring:
• Stay up to date with regulatory changes and industry standards affecting documentation, billing, and credentialing compliance.
• Proactively address and resolve compliance gaps by implementing necessary updates and improvements.
Collaboration and Communication:
• Partner with the Director of Compliance to streamline client audits and medic credentialing processes, ensuring that all documentation meets internal and external requirements.
• Communicate effectively with the Director of Compliance to address documentation needs and ensure audit readiness.

EDUCATION AND EXPERIENCE
• Minimum of an associate’s degree in healthcare administration, business administration, or a related field required.
• CACO and/or CADS certifications preferred, or the ability to earn them within one year of hire.
• Minimum of 1-3 years of experience in healthcare administration, compliance, billing, or a related field, with a preference for experience in ambulance billing and compliance.
• Experience with audit preparation and management of documentation.
KNOWLEDGE, SKILLS, AND ABILITIES
• Knowledge of ambulance billing and compliance standards
• Strong organizational skills with keen attention to detail
• Proficiency in relevant software tools, such as billing systems and credentialing platforms
• Excellent verbal and written communication skills, with the ability to maintain professionalism in all interactions.
• Ability to work in a fast-paced environment with frequent deadlines and shifting priorities.
WORKING CONDITIONS
Work is primarily performed on a computer, requiring long periods of sitting or standing at a workstation.
WORK LOCATION AND SCHEDULING
This is a hybrid position, requiring three days on-site in Terrell, TX and two days remote each week.
