Commercialization Coordinator

We’re looking for a detail-oriented and highly organized Commercialization Coordinator to join our Innovation team. This role is critical to ensuring the successful launch of new products and updates by managing master data, coordinating packaging and label workflows, and supporting cross-functional commercialization processes.

Key Responsibilities: 

Master Data Management 

  • Create and maintain master data for all new and existing SKUs, including Bills of Materials (BOMs), GTINs, dimensions, and case pack formats in ERP, internal excel sheets, and ClickUp 

  • Ensure accuracy and consistency across all systems to support operational execution and Health Canada reporting. 

  • Collaborate with the Master Data Team to validate data inputs and ensure timely updates for product launches or changes. 

Product Specifications & Documentation 

  • Compile and distribute commercial handover packages, including product spec sheets, to operations, packaging, and supply chain teams. 

  • Maintain commercialization trackers and documentation to ensure alignment, compliance, and audit readiness. 

Packaging Material & Label Coordination 

  • Coordinate packmat changes and version updates with internal stakeholders and external vendors. 

  • Manage and track packaging specs, dimensions, and artwork updates to meet launch timelines. 

  • Draft, Route label files for approval, proofing, and signoff; ensure documentation is audit-ready and stored in the appropriate locations. 

Packaging Validation & Trials 

  • Support the planning and execution of packaging validation trials, including coordinating samples, collecting data, and tracking trial outcomes. 

  • Maintain inventory of packaging samples used for trials and development. 

  • Document trial results and flag issues for follow-up or escalation. 

Commercialization Execution 

  • Track and report progress through Rubicon’s stage-gate innovation process (focus on Gate 3 readiness). 

  • Support ad hoc and planned commercialization initiatives, including SKU setup, packaging rollouts, and data consolidation. Track and report progress through Rubicon’s stage-gate innovation process (focusing on supporting the project lead for Gate 3 readiness and then leading the production handover for Gate 5 Launch). 

  • Identify process improvement opportunities (e.g., label workflow optimization, BOM creation standardization) and contribute to implementation. 

Cross-Functional Communication 

  • Provide regular updates to the Commercialization Manager and project stakeholders on data readiness, label status, and packaging deliverables. 

  • Monitor timelines, dependencies, and inputs across departments; proactively flag risks, delays, or missing information. 

  • Act as the point of coordination across supply chain, operations, procurement, IT, and marketing to ensure full launch readiness. 

 

Qualifications: 

  • Post-secondary education in business, supply chain, operations, or related field (or relevant experience) 

  • Experience working with master data in a CPG or manufacturing environment (SKUs, BOMs, ingredients lists) 

  • High proficiency in Microsoft Excel (incl. Power Query, Power Pivot); comfortable with ClickUp and viewing SQL reports 

  • Meticulous attention to detail; confident managing data and documentation for multiple fast-moving projects 

  • Strong verbal and written communication skills: proactive, responsive, and clear 

  • Ability to juggle competing priorities in a high-change environment 

Nice to Have: 

  • Knowledge of packaging materials or printed label components 

  • Experience working in a regulated environment (e.g., cannabis, food, pharma) 

  • Familiarity with Health Canada’s labelling and packaging requirements
