Job Title: Centralized Scheduling Manager

Job Summary:

As the Centralized Scheduling Manager, you will play a pivotal role in ensuring seamless scheduling operations for our Audiology and Speech Therapy departments, including our satellite locations. Additionally, you will manage insurance verification and patient intake processes to ensure a streamlined experience for our families.   

Primary Responsibilities:

  • Oversee the scheduling of patient appointments for Audiology and Speech Therapy departments
  • Manage new patient intake processes as part of the scheduling process
  • Supervise insurance verification processes
  • Coordinate and manage the daily activities of direct reports
  • Develop and implement efficient scheduling workflows and procedures
  • Monitor and analyze scheduling metrics to optimize patient flow, attendance rates, patient satisfaction and operational efficiency/productivity
  • Develop and communicate scheduling related reports to organizational and departmental leadership
  • Provide training and support to scheduling staff
  • Work with facility and departmental leadership, as well as departmental staff, to meet the scheduling needs of the organization
  • Address and resolve any scheduling conflicts or issues that arise
  • Maintain accurate records of patient appointments and insurance verifications
  • Ensure compliance with all relevant regulations and policies
  • Maintain sufficient understanding of services provided at THI to facilitate effective communication with clients, staff and visitors
  • Other duties as assigned

Required Skills/Abilities:

  • Bilingual in Spanish
  • Excellent organizational and multitasking skills
  • Strong leadership and team management abilities
  • Proficient in using scheduling software and electronic medical records (EMR) systems
  • Excellent communication and interpersonal skills
  • Ability to work independently and make decisions in a fast-paced environment
  • Detail-oriented with strong problem-solving skills
  • Strong computer skills including excel proficiency

Education and Experience Requirements:

  • Minimum of 3 years of experience in a healthcare scheduling or administrative role.
  • Previous experience in a supervisory or managerial position preferred.

Physical Requirements:

  • Ability to sit for extended periods of time.
  • Ability to use a computer for long periods.
  • Ability to lift up to 15 pounds.

Position Information:

  • Hours Weekly: 40
  • Monday - Friday
