Central Supply Job Description

Summary Description:

The purpose of this position is to evaluate facility need, order and maintain adequate resident

care supplies. To maintain an efficient, accurate system to identify changes for resident care

supplies.

Essential Functions and Responsibilities:

1. Evaluate the facility resident care supply needs.

2. Develop an efficient system to order adequate resident care supplies.

3. Order adequate resident care supplies.

4. Maintain adequate resident care supplies.

5. Maintain an efficient system for strong resident care supplies for prompt retrieval.

6. Develop and maintain an efficient, accurate system to identify charges for resident care

supplies.

7. Follows verbal/written instructions

8. Writes clear, accurate supply orders.

9. Performs all duties assigned in an effective and timely manner.

10. Be responsible for collecting data on the number of supplies needed from each resident

care area.

11. Identify type and amount of each item to be stocked.

12. Maintain supplies in a neat, clean and organized manner.

13. Follow instructions for proper storage of supplies.

14. Receive review and have requisitions approved before ordering.

15. Keep accurate organized records of the type and number of supplies received.

16. Receive incoming supplies and verify with original purchase order.

17. Receive or unload supplies and distribute stock and/or store in a neat, efficient, and safe

manners.

18. Send invoices to BOM promptly for payment.

19. Report all problems with obtaining supplies promptly to administration,

20. Understand and maintain records related to the facility resident change system in an

accurate, neat, and organized manner.

21. Provide the BOM with accurate charges for supplies used by individual residents.

22. Work cooperatively with nursing staff.

23. Work cooperatively with facility suppliers.

24. Observe all facility safety policies and procedures.

25. Perform other related duties as directed by supervisor.

26. Perform all duties assigned in an effective timely and professional manner.

27. Observe facility infection control procedures.

28. Provides accurate reports to administration of the type and number of supplies received.

D. Compliance with and enforcement of current law and policy to provide a work

environment free from harassment and all illegal and discriminatory behavior.

4. Supports and participates in common teamwork:

A. Cooperates and works together with all co-workers; plan and complete job duties

with minimal supervisory direction, including appropriate judgment.

B. Uses tactful, appropriate communications in sensitive and emotional situations.

C. Reports complaints, problems and concerns regarding co-workers, management

or residents in accordance with company policy.

D. Promotes positive public relations with residents, family members and guests.

E. Completes requirements for in-service training, acceptable attendance, uniform

and dress codes including personal hygiene, and other work duties as assigned.

Employment Standards:

Education: High school diploma preferred; equivalent accepted.

Experience: None required, on-the-job training provided. Any combination of experience

and training which provides the required skills, knowledge and abilities is

preferred.

 

Scheduler/Staffing Coordinator Job Description

 

Position Description:

The Staffing Coordinator for Nursing Services will be responsible for the design and implementation of staffing

patterns for licensed RNs, LPNs, CNAs and other nursing assistant employees in accordance with the staffing

needs of the facility, defined by resident population, and the time frame set forth by the facility. This job

description may be used independently or in conjunction with another job description, based on the needs of

the individual facility.

Supervisory Responsibilities:

• None.

Essential Functions and Responsibilities:

• Establishes a master and a daily staffing patterns and schedules for nurses and nursing assistants.
• Generates a master schedule, staffs according to budgeted hours per patient day and budgeting staffing

ratio.
• Advises management of scheduling/staffing changes.
• Adequately staffs the facility’s nursing units according to facility procedures and policy.
• Verifies previous days’ time clock report and advises in morning meeting of any discrepancies.
• Attends morning meetings daily to review the daily schedule and advise of any openings.
• Distributes and collects department head labor verification sheet.
• Meets daily with Administrator, DON and HR to ensure appropriate and accurate time records are kept and to be updated on Active and Terminated Staff Members.
• Presents proposed schedules to Director of Nursing for review, prior to posting.
• Works with human resources to advise them of staffing needs, terminations, and other information necessary for the smooth flow of work regarding employees.
• Ensures new hires are placed on the schedule for as soon as orientation and any necessary training is complete.
• Manages securing appropriate coverage for absences, scheduled and unscheduled, adjusting daily and master schedule as required.
• Maintains records on vacations, sick leave, leaves of absence, holidays, excused and unexcused absences, and recommends appropriate action.
• Assists in administering the uniform policy for the facility.
• Works with the DON to schedule training classes.
• Participates in in-service training.
• May be asked to perform clerical duties of nursing department.
• Reports employee absences greater than 3 consecutive days to HR Manager for possible FMLA.

Required Skills/Abilities:

• Versed in interview techniques.
• Must possess sensitivity in understanding employees' needs while maintaining a sense of balance to ensure that staffing requirements are met for the facility.

Education and Experience:

• High school education or GED equivalent required with college-level training preferred.
• Previous experience with staffing preferred.
• Certified Nursing Assistant preferred.
• Must have knowledge of staffing and orientation schedules.

Physical Requirements:

• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
