Our latest venture is ROAR, our live-fire restaurant in Tofino, BC. We are searching for an Awesome Administrative Assistant to join our flock of totally unique and fun-loving individuals to drive our business forward in the long term.

This role reports to the Manager of Executive Operations and will be key in creating an amazing environment at our Rebel Base (or corporate office). You will be responsible for managing the day-to-day needs of our office and supporting our executive team with administrative duties and tasks. A major focus of your role will be supporting our CEO, Mandy Farmer and founder, Terry Farmer with their day-to-day administrative and personal needs. This role will be key in elevating the performance and impact of Ducks ‘n Rebels across the organization.

What the Role is Quacked Up to Be 

We are seeking a highly organized and proactive Administrative Assistant to support our CEO, Mandy, and Founder, Terry, and ensure the smooth operation of our office, known as Rebel Base. This role will involve a variety of administrative, personal, and management tasks, including scheduling, correspondence, record-keeping, overseeing the office environment, and running errands. The ideal candidate will be a multitasker with strong communication skills and a keen attention to detail. This role requires a high degree of confidentiality due to the nature of information and work you will be supporting. 

In your first 3 months, you will…  

Work with the Manager of Executive Operations to understand the flow and cadence of Rebel Base inventory needs. 

Start working with Terry and Mandy to understand their needs and expectations.

Begin to develop a plan with your manager and Mandy on how best to support Mandy and Terry moving forward. 

Get familiar with how we use Microsoft suite for scheduling and collaboration and make any suggestions on how to improve these workflows. 

Run your first Rebel Base event (lunch, games, etc.)

Work with our Finance team to understand our current processes around expenses and invoicing. 

Support the Care Bears with administrative duties as needed (travel, event booking, expenses).

In your first 12 months, you will…

Have developed trusting relationships with your stakeholders (i.e. Care Bears, Directors, etc.)

Have successfully managed multiple events at Rebel Base.

Created a warm and welcoming environment for all employees at Rebel Base. 

Taken full ownership of Rebel Base to ensure its smooth operation. 

Manage various internal calendars to support planning cycles for the entire organization. 

Be managing the day-to-day administrative and personal support for Mandy and Terry. 

Have developed new processes to create efficiencies in your role.

Have supported the execution of our flagship events with the Manager of Executive Operations (ex: Culture Fest).

This exciting role will be key in ensuring FUN is had at Rebel Base and that all Ducks ‘n Rebels feel welcome. You will be required to be in-office 5 days a week with the occasional need for travel. 

What to expect from us?

Application: We will do our best to review and respond to all applications.

First Interview (30min): You will meet with Laura, our HRBP, to discuss your experience, role and impact at a high level. 

Second Interview (60min): You will meet with Noah, our VP of People & Culture, and Morgan, our Manager of Executive Operations to discuss the role in more detail, assess technical ability and dive deeper into your experience. 

Third Interview (60min): You will meet with Chris, our President to connect on Care Bear expectations, confidentiality, and value alignment with the organization.  

Meet & Greet (45min): You will sit down and meet with Mandy, our CEO to discuss your process, how you two will work together, and to learn more about Mandy’s work style and expectations.
