Accounts Payable Supervisor

The Accounts Payable Supervisor will oversee the AP and AR functions, ensuring accuracy, efficiency, and compliance with relevant policies and procedures. This role requires leadership skills, attention to detail, and a thorough understanding of accounting principles.

RESPONSIBILITIES 

Accounts Payable:
  • Supervise the AP process to ensure accurate and timely processing of invoices, expense reports, and payments.
  • Review and approve vendor invoices, lien releases, and employee reimbursements.
  • Monitor accounts to ensure payments are up to date and resolve any discrepancies.
  • Maintain accurate records and prepare reports for management.
  • Record daily cash postings for expenses.
  • Enter invoices as needed for priority projects.
Accounts Receivable:
  • Ensure timely and accurate invoicing, posting of receipts, and application of payments.
  • Monitor aging reports and follow up on overdue accounts.
  • Coordinate with operations and accounting team to resolve billing issues.
Financial Reporting and Analysis:
  • Prepare Weekly Unpaid AP Report.
  • Prepare Weekly AR Report.
  • Perform daily system sync between Procore and QBO.

Other:

  • Identify inefficiencies and implement process improvements to enhance accuracy and efficiency.
  • Develop and maintain AP/AR policies, procedures, and internal controls.
  • Recruit, train, and mentor AP staff.
  • Set performance goals, conduct performance reviews, and provide ongoing feedback.
  • Foster a positive and collaborative work environment.

QUALIFICATIONS

The requirements listed below are representative of the qualifications necessary to fulfill the obligations of this position successfully.
  • High School diploma or equivalent required. Bachelor’s degree in Accounting desired
  • 3+ years of accounts payable/receivable experience 
  • Proficiency in ERP systems and accounting software (e.g., Procore, QuickBooks).
  • Experience with QuickBooks software preferred
  • Ability to meet deadlines while performing multiple priority tasks
  • Strong attention to detail, highly organized
