Job description:

Qualifications:

  • Demonstrated ability to handle confidential and sensitive information responsibly and with discretion.
  • Strong written and verbal communication skills; Bilingual and fluent in English/Spanish (oral and written) required.
  • Self-disciplined and timely.
  • Proficient in To-Do list apps and Calendar sites.
  • Ability and Willingness to take notes.
  • Strong organizational and time management skills; must be able to independently prioritize, plan and manage multiple tasks
  • Ability to work independently and as part of a team
  • Must enjoy customer service and have good phone skills.
  • The position requires minimum travel in San Juan area


Job Description:

  • Update and manage documents, spreadsheets, executive's calendar, to-do apps, phones, e-mails, postal mail, website, and social media.
  • Coordinate mailing of postcards to clients and prospects.
  • Confirm appointments with all parties before events.
  • Complete and generate weekly, monthly and ad-hoc reports.
  • Assist with purchasing and inventory management
  • The Administrative Assistant is responsible for assisting management team with goals and objectives.
  • Take notes of meetings and follow up with action items through relevant calendar and to-do apps.
  • Other relevant administrative assistant tasks as needed.
