Administrative Assistant

OVERVIEW: Reporting to the Director of HR, the Administrative Assistant is responsible for providing administrative support in all program areas by maintaining a well-organized and responsive environment.
The Administrative Assistant will manage various unit projects as needed and be a part of the organization Administrative Assistant Team.
KEY RESPONSIBILITES:
· Provides administrative support to ensure the efficient operation of the organization.
· Respond to emails and other requests in a timely and professional manner.
· Schedule and coordinate meetings, including set up and catering.
· Answer phone inquiries in a professional and friendly manner.
· Draft correspondence as requested, i.e. letters, reports, agendas etc.
· Gather and summarize materials for reports and presentations as requested. Photocopy, scan documentation, file, email, fax.
· Cover front desk according to schedule.
· Maintain physical and electronic files and records, ensuring compliance with confidentiality.
· Prepare and submit staff travel requests, purchase order, cheque requisitions etc.
· Other duties as assigned.
QUALIFICATIONS:
· Grade 12, or minimum of one [1]-year related office experience.
· Strong interpersonal skills, including excellent written and verbal communication skills with the ability to work in a fast-paced environment.
· Effective and proven organizational skills to be able to prioritize and ensure deadlines are met.
· Must be accurate in entering data with high attention to detail.
· Must be able to travel as needed.
· Strong proficiency in Microsoft Office, Word, Outlook, Excel, PowerPoint and SharePoint.
· Knowledge of the Child and Family Services (CFS) sector and legislation an asset but not mandatory.
