The Administrative Assistant plays a key role in helping everyday operations flowing between Sales, Operations, and Customers.
This position will be focused and responsible for various accounts receivable functions, accounts payable management, and subcontractor registration/ management
Essential Functions
- Communicate regularly with customers via phone, email, or mail as necessary.
- Assist in job set-up coordination for new projects
- Send out past-due invoices
- maintain and oversee Accounts Payable to ensure we receive invoices from vendors in a timely manner
- Maintain accounts receivable customer files and records
Knowledge, Skills and Abilities
- Well-developed interpersonal, oral and written communication skills
- Professional telephone skills
- Good with planning and organization
- Proficient with basic software applications including Word, Excel, Outlook, etc.
- ability to obtain working knowledge of company computer systems including Key2Act and Great Plains
- Familiarity with clerical practices, office procedures, and automated equipment
- Abillity to perform assigned duties with minimal supervision; identify problems and implement or recommend solutions; interpret and apply policies and procedures within limit of authority
