Adjoint(e) exécutif(ve) / Executive assistant
Reporting to the General Manager, the Executive Assistant will be responsible for assisting management in the planning, organization and coordination of its activities, including diary management, document management and correspondence. He/she will organize and coordinate meetings, travel and trips. Based at the Windfall site, located in the Nord-du-Québec region, he/she will be required to work a 5/2 or 4/3 schedule, with the possibility of telecommuting. Transportation, lodging and meals provided.
Duties and responsibilities
- Prepare, type, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and other related documents;
- Open and distribute postal and electronic mail and other incoming documents, and coordinate the flow of information internally and with other departments and organizations;
- Schedule and confirm employer appointments and meetings;
- Order office supplies and maintain inventory;
- Respond to telephone and e-mail inquiries and forward telephone calls and messages;
- Establish and maintain manual and computerized information filing systems;
- Formulate and implement office operating procedures;Welcome visitors, determine the purpose of their visit and direct them to the appropriate employer or person;
- Record and prepare minutes of meetings;
- Organize trips and make the necessary reservations;
- Compile data, statistics and other information, as needed, to support follow-ups;
- Supervise and train, if necessary, office employees in work methods and the use of current software;
- Organize conferences and other activities as required;
- Be the logistics point of contact;
- Comply at all times with occupational health and safety and environmental policies and regulations;
- Perform any other tasks related to the Executive Assistant position that are relevant to the success of the project.
Basic skills
- Excellent interpersonal and communication skills;
- Ability to work well under pressure;
- Detail-oriented, rigorous and methodical;
- Good organizational skills, autonomy and discretion;
Technical skills
- Excellent knowledge of Microsoft software (Excel, Word, Outlook);
- Very good command of oral and written French and English.
Qualifications required
- DEC in administration or related field or equivalent relevant experience;
- Minimum of (5) years experience as an executive assistant;
- Bilingual (will be called upon to work with Gold Field partnership members and English-speaking visitors);
- Driver license. (class 5), mandatory.
