SUMMARY

The Accounts Receivable Specialist concentrates on the daily income received from our customers for payment on invoices for the product and material sold.  Must be proactive in obtaining resolutions and collections that arise from issues of non-payments or short payments received.   Must have excellent computer and data entry skills in Microsoft Word, Excel and Outlook as well as the ability to communicate and interact effectively with customers and other departments. This position reports to the Accounting Manager.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

·         Posts daily cash in a timely manner with accuracy, investigate and resolve discrepancies.

·         Process all credit card charges for Hapco Aluminum and balance batch totals.

·         Reports monthly 90+ day outstanding or unsolved problems to Vice President of Finance, Controller and Accounting Manager in an attempt to settle and collect monies, thus reducing the overall receivables.

·         Manages correspondence and communications relative to customer’s credit availability, contact information, deductions, credit memos, outstanding invoices, etc.

·         Builds strong customer relationships through excellent awareness and understanding of the customer’s payment history.

·         Daily interaction with customer service representatives to release orders, resolve issues and any other requests as needed.

·         Receives customer payments, processes and sends to depositing bank.

·         Facilitates lien waiver process.

·         Must have excellent phone, computer and data entry skills and the ability to communicate and interact effectively with customers, customer service/other departments and national sales representatives.

·         Works effectively with others in a team-based environment to accomplish company goals and to identify and resolve problems.

·         Ensure the confidentiality and security of all financial and employee files.

·         Ability to multi-task and continually prioritize tasks.

·         Ability to follow verbal and written instructions with minimal supervision.

·         Other duties as assigned.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. An individual should be detail oriented, have good basic math skills, ability to identify and resolve problems, manage difficult customer situations and follow up.

 

EDUCATION AND/OR EXPERIENCE

High school diploma or general education degree (GED) or equivalent of a certificate or degree from a college. A minimum of two years of experience in accounting field or a related area is required. This person must be familiar with standard concepts, practices, and procedures within accounting field.  Relies on experience and judgment to plan and accomplish goals and should have the ability to perform a variety of tasks.  A certain degree of creativity and latitude is required.  The ability to be proficient in Excel, Word, Outlook, and accounting software is required.

 

LANGUAGE SKILLS

Must possess the ability to communicate effectively one-on-one or in group situations with customers, industry groups and co-workers; utilizing methods to include, but not limited to verbal presentations or conversations plus telephone and email communications.

 

REASONING ABILITY

Ability to apply common sense understanding while carrying out instructions furnished in written, oral, or diagram form plus the ability to create and interpret documents correctly.  Possess the ability to deal with problems involving several variables in various situations.

Proper lifting techniques required.

However, occasionally, time will be spent in a manufacturing environment. Mandatory safety protection (PPE) and caution will be required while in the plant.
