Accounts Payable Specialist
Hubbard Realty is seeking a self-motivated and detail-oriented Accounts Payable Specialist to oversee all aspects of accounts payable. This role is integral to maintaining accurate financial documentation and vendor relationships. The ideal candidate will have a strong understanding of accounts payable processes, organizational skills, and proficiency in accounting software. This position reports directly to the Controller.
Key Responsibilities:
· Review invoices for accuracy and ensure proper documentation and approval before payment.
· Process timely payments of vendor invoices and expenses.
· Prepare checks for signature and manage ACH payment uploads to banks.
· Maintain accurate invoice and payment records, ensuring timely digital filing.
· Upload Positive Pay files to banks and manage W-9 documentation for vendors.
· Assist with period-end closing for accounts payable and file 1099 information returns.
· Communicate effectively with vendors and internal personnel regarding accounts payable inquiries.
· Perform other duties as assigned by the Controller or CFO.
Compensation, Hours & Benefits:
· Employment Type: Full-time (37.5 hours per week)
· Schedule: Monday–Friday, 8:30 AM–5:00 PM (one-hour lunch)
· Pay: $20–$25 per hour, based on experience (paid bi-weekly)
· Status: Non-exempt (eligible for overtime per the Fair Labor Standards Act)

Skills & Qualifications:
· Proven experience in accounts payable or a similar financial role.
· Strong knowledge of accounts payable processes and financial documentation.
· Attention to detail with accuracy in data entry and reconciliations.
· Organizational skills with the ability to multitask and prioritize work efficiently.
· Proficiency in accounting software (Sage MAS 90 preferred) and Microsoft Office applications (Excel, Word).
· Effective communication and interpersonal skills.
Education & Experience:
· High school diploma, GED, or equivalent required.
· Minimum three years of industry experience.
· Familiarity with office software and phone systems.
Physical & Mental Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Ability to manage standard office tasks (phone calls, document review, data entry, filing, etc.).
· Must be able to lift up to 25 pounds as needed.
· Comfortable in a multitasking environment and able to prioritize effectively.
· Ability to follow both written and verbal instructions.
