Family Boarding Coordinator

Regular, full-time

Start: Mid-February 2019

 

Position Overview:

Reporting to the Director of Admissions, the Family Boarding Coordinator plays a critical role in ensuring the overall success of the Family Boarding Program within the GNS community. The successful candidate will build and maintain engaging and positive relationships with students, host families and School personnel. You will place a high value on providing exceptional service and exemplify a caring, can-do attitude in support of GNS’s mission and values.  This position requires sound and reliable judgment as all decisions affect students, hosts and ultimately GNS’s agent relationships and reputation both locally and internationally.

 

Responsibilities:

  • Develop and maintain a local network of host families through a variety of marketing initiatives;
  • Interview potential host families and follow thorough screening procedures;
  • Select and match host families for family boarding students, while ensuring that host availability, matching criteria, and student preferences are observed;
  • Maintain regular contact with, and continually nurture, strong relationships with new and existing hosts, students and agents;
  • Provide a high level of pastoral care to family boarding students working to ensure their integration to GNS is positive and enriching;
  • Coach and support host families in their efforts to provide an exceptional experience for students and their families;
  • Monitor student’s academic performance, work with various faculty members, and participate in relevant meetings as necessary;
  • Maintain regular contact with student’s parents overseas being sensitive to language barriers and ensure communications are translated where necessary;
  • Track, update and manage all records and documentation as it relates to host families, international students, health insurance etc. ensuring accurate and complete information is maintained in compliance with School procedures;
  • Demonstrate a high degree of responsiveness to agents, host families and students; apply tact and diplomacy regarding homestay issues and cultural differences; and respond to crisis situations in a prompt and caring manner;
  • Organize events and information sessions for host families, potential host families and international students;
  • Maintain the family boarding cell phone on an on-call basis;
  • Other relevant duties as required.

 

Education

  • Bachelor’s degree in Communications, Humanities, Cultural Studies or related field.
  • An equivalent combination of education and experience may be considered.

 

Experience:

  • Minimum two (2) years’ experience working in a cross-cultural environment with community agencies or in an educational setting, preferred.
  • Experience with boarding or homestay placements, an asset.
  • Cultural awareness and experience living overseas, an asset.

 

Knowledge and Skills: 

  • Must be results-driven, a self-starter and possess exceptional interpersonal skills that fosters positive and collaborative relationships with a diverse group of people.
  • Must demonstrate and consistently deliver a high degree of exceptional service and pastoral care.
  • Adept at solving issues and problems in a timely, tactful and diplomatic manner.
  • High professional and ethical standards for handling sensitive and confidential information.
  • Strong planning and organizational skills to manage multiple priorities, regular interruptions and conflicting deadlines.
  • Excellent written and verbal communication skills.
  • Empathy and sensitivity to other cultures and customs.
  • Willingness and adaptability to support other areas of Advancement, when necessary.
  • Flexibility to be available evening and weekends, when required.
  • Proficiency in Microsoft Office Suite and familiarity with MAC, an asset.
  • Valid BC driver’s license and access to own vehicle is required.
  • Ability to speak a second or additional language(s), an asset.
