Program Assistant - Parent as Teachers
SUMMARY: Under the direct supervision of the Parent as Teachers Program Manager, the Data Management Specialist provides staff and program support in the execution of the evidence-based Parents as Teacher (PAT) home visiting program, developed to promote the healthy development of children from pregnancy to kindergarten. The Data Management Specialist utilizes multiple database systems to ensure that data entry, fidelity standards, and reporting constructs comply.
Responsibilities
- Acquire knowledge and expertise of the agency’s Client Management System software and other systems Data Tracker and Penelope.
- Complete program statistical and progress reports as required to maintain program fidelity. Process and enter data into multiple databases as required.
- Perform data management activities including data entry, reporting, and basic office tasks. Create an electronic file system for each client in PAT program.
- Mitigate potential data management issues by reviewing protocols or other documents for cross- project consistency. Ensure all data is always backed up and accessible.
- Complete monthly file audit and report to PM all findings.
- Maintain daily management of data using quality metrics to ensure data deliverables.
- Communicate with PM on a bi-weekly basis updates or changes in data as needed.
- Maintain all data files and input all new families into data systems as they are enrolled.
- Work with PAT regional representatives to ensure high level of integrity regarding all data received from various sources.
- Work closely with the Family Support Services team to obtain and maintain program certification and fidelity.
- Maintain client confidentiality and integrity in keeping with agency policies, practices, professional standards, and program requirements.
- Successfully complete relevant Parents as Teachers trainings and other required trainings yearly must maintain current certification with PAT.
- Perform all other duties as assigned and adhere to ongoing policies, program standards and supervisory directives. Assist with monthly Share Baby Donations received and support PAT staff in planning activities and events for participants.
- Provide data for all purchase orders and the process them in a timely manner.
- Provide support and purchase supplies for PAT program with PAT supervisor and PM.
- Provide support with all Parent Educators assisting with documentation as required by PAT.
Required Skills/Abilities:
· This position requires a self-motivated individual with great attention to detail, strong communication skills (written and verbal), time management skills, organizational skills and the ability to balance multiple tasks simultaneously.
· Extensive knowledge of data preparation procedures and requirements
· Proficient in Microsoft Office Suite, Excel, PowerPoint.
· Must have a growth mindset working within a team.
Education and Experience:
· Highschool diploma required, bachelor’s degree preferred.
· 2 years of relevant experience working with data systems
· Experience working within nonprofit, evidence-based programs, and/or Baltimore City is a plus.
Work Environment:
· Must be willing to work flexible hours. Must be willing to work a hybrid schedule two days in office 3 days work from home.
