Job Summary: The Executive Assistant will provide high-level administrative support to the executive team, ensuring the smooth operation of the office and facilitating effective communication and coordination. The ideal candidate will be detail-oriented, resourceful, and able to handle multiple tasks with a high degree of professionalism and confidentiality.
Key Responsibilities:
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion and professionalism
- Coordinate with insurance providers and fleet management provider for fleet changes, registrations, and insurance cards. Ensure all fleet vehicles have current registration.
- Work closely with the Executive Team and Accounting Department to ensure accurate accounting systems such as invoices, payments, inventories and budgets are in place.
- Maintain and organize documents, files and records, ensuring all documents are easily accessible.
- Coordinate and organize meetings, company events, and team-building activities.
- Assist with special projects and initiatives as needed.
- Serve as a liaison between executives and internal/external stakeholders.
- Monitor and respond to emails and other communications on behalf of the executive team.
- Perform general office duties, such as ordering supplies, managing files, and maintaining office equipment.
- Other duties as assigned.
Qualifications:
- Bachelor's degree in business administration, communications or a related field preferred.
- Experience with QuickBooks Online preferred.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Access and Teams)
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality
- Strong problem-solving skills and attention to detail.
