Brokerage Coordinator
The purpose of this position is to assist the Specialty Team (retail brokerage) to ensure the team’s success through managing the team’s day-to-day workloads, and creating and updating basic marketing materials for listings. This position will be the marketing designer for the team making basic design updates and working closely with broker team and mapping department for all SHOP related office initiatives.
This role is best suited for someone with 1–2 years of administrative, coordination, real estate, or marketing support experience. Must be comfortable making light edits in Adobe (InDesign / Photoshop) using existing templates and be organized, detail-oriented, and eager to learn retail real estate brokerage. We are looking for hands-on, in-office exposure to deals, brokers, and clients in Uptown Dallas.

Broker Coordinator Responsibilities (include but are not limited to):
- Create and update property leasing flyers, site plans, and marketing presentations using existing templates and brand guidelines
- Make edits to maps, aerials, and site plans for broker and client presentations
- Assemble tour books and marketing packages for property tours and meetings and prepare presentations, pitch decks, and meeting materials based on broker input
- Update and maintain property and tenant information on the company website to ensure accuracy
- Assist with the creation and distribution of marketing email blasts using existing content and contact lists
- Assist brokers with completing transaction and deal forms and submitting for internal processing and invoicing
- Pull demographic reports from the ESRI database and organize data into Excel and presentation-ready formats (no advanced analysis required)
- Coordinate with the Operations team in Dallas to support day-to-day office and team needs
- Assist with ordering marketing assets such as aerials, maps, and leasing signage and help coordinate installations
- Support travel bookings, expense reimbursements, and meeting logistics for the brokerage team
- Assist with ICSC conference preparation and logistics, including materials, schedules, and on-site support as needed
- Support company and team events (e.g., ICSC dinners, holiday events) under direction of senior team members
- Update and prepare leasing reports
Experience Requirements:
- 1-2 years of basic administrative experience
- Ability to manage the team’s day-to-day workload
- Ability to support multiple brokers to prioritize deliverables
- Ensure team organization and proactivity for team efficiency
- Proficient in the Microsoft Office Suite, Outlook, Excel and Word
- Exposure and light experience in Photoshop, InDesign, Illustrator to make minor edits and adjustment
- Team oriented approach
- Ability to multi-task and operate in a fast-paced environment
