GENERAL SUMMARY:
Responsible for switchboard operation, guest reception, mail service, and clerical duties.

PRIMARY RESPONSIBILITIES:
  • Answer and direct incoming telephone calls to the proper office or person.
  • Greet guests as they enter the building.
  • Provide backup administrative support, including filing, scanning, and word processing, as requested.
  • Process incoming packages and mail, route to the proper department of person.  This includes physical mail, as well as emails and online document retrieval.
  • Process outgoing packages and mail, prepare mailing labels or envelopes as required and deliver to the post office (one block away from office).
  • Perform data entry as requested.
  • Develops and maintains the office as a professional, organized physical space for staff and visitors.
  • Performs other duties as required. 

KNOWLEDGE, SKILLS, & ABILITIES:

  • Demonstrates ability to maintain confidentiality of private business information.
  • Proactive and organized with demonstrated attention to details.
  • Effective time management skills.
  • Basic computer skills with proficiency in the Microsoft Office Suite, including Microsoft Teams.
  • Proficient in typing and data entry.
  • Uses critical thinking skills to solve problems and see projects through start-to-finish.
  • Promptness, flexibility, and a willingness to learn.

EDUCATION, LICENSES AND EXPERIENCE:

  • High School diploma or equivalent required.
  • Prior experience in a comparable position operating a multi-line telephone system preferred.
  • Valid Driver's License required.
