Front Desk/Admin position
Primary Responsibility: Monitor and enforce building access policies and visitor/guest registration. Position is also responsible for professional presentation in answering the telephones; writing up and processing service requests from residents and supervising all lobby activity to insure compliance of guests, vendors and residents.
Specific Duties and Responsibilities:
Answer telephones in a professional and courteous manner and forward to appropriate personnel
Coordinate appointments and assist in managing schedules and conference call; arrange meetings and other materials; reserve and prepare facilities.
Distribute Incoming mail/ensure outgoing mail pick-up
Validate waiting list per Assistant Manager’s direction
Ensure all Incidents/Tenants complaints are delivered to Assistant Manager
Greet prospective residents and vendors
Register all visitors and guests and obtain a valid photo ID before allowing access to the property
Up-date resident information on Bulletin Boards
Report all criminal activities in or around the property to police
Monitor front entrance of building to deter loitering
Order office supplies as needed
Write work orders as needed
Monitor the cleanliness of copier, personal work space and lobby
Up-date & distribute resident roster
Prepare resident packets for re-certification/move-in’s
Complimentary coffee set-up 8:00am – 4pm (Monday-Friday)
Experience/Qualifications:
High school education
Lease and or customer service experience (preferred)
Positive attitude and people oriented
Must have the ability to work with and understand person of all ethnic and educational backgrounds
Must be able to communicate clearly and effectively
Must be well groomed, Business Casual attired and pleasant to work with
Have the ability to assist on-site Assistant/Property Manager in all duties, which he/she may be assigned
